We are seeking a proactive and detail-oriented Property Management Assistant // Director of First Impressions to join our small business team. This role is essential in supporting the daily operations of property management, ensuring smooth leasing processes, compliance with housing regulations, and excellent customer service. Responsibilities + Qualifications
- Manage tenant/owner inquiries via phone, email, and in person with professionalism and exceptional customer service skills
- Handle front desk operations, including scheduling appointments and managing calendars
- Support the team with day-to-day projects and tasks (responsibilities may evolve over time)
- Assist with property leasing activities, including scheduling tours, preparing lease documents, and upselling available units to prospective tenants
- Maintain accurate data entry in property management software such as Appfolio, including rent payments, lease agreements, and maintenance requests
- Demonstrate proficiency in Microsoft Office and Google Workspace to create documents, spreadsheets, ChatGBT, and presentations
- Support compliance with Fair Housing regulations, Landlord-Tenant Law, LIHTC (Low-Income Housing Tax Credit), Section 8 programs, and other legal requirements
- Coordinate property maintenance requests and facilities management tasks using Appfolio tools
- Prepare and organize legal administrative documents, contracts, filing systems, and tenant records while ensuring confidentiality
- Handle conflict management situations with diplomacy and negotiation skills to resolve tenant concerns effectively
- Strong customer service orientation with excellent phone etiquette and interpersonal skills
- No Prior experience in property management or real estate administrative roles is required but it is preferred
- Proficiency with property management software such as Appfolio is not required but is preferred
- Office experience including phone reception, data entry, filing, and general administrative support required
- Ability to manage conflict situations professionally while maintaining positive relationships with tenants and team members
