Position Overview:
We are seeking a friendly and service-oriented Scheduling Coordinator & Front Desk to join the team at our thriving orthodontic clinic. As a Front Desk Coordinator, you will be the first point of contact for our patients. You will greet them as they arrive, book appointments, answer phone calls, and general front office duties. The ideal candidate has a cheerful disposition, excellent communication, and computer skills, and is capable of multitasking.
Key Responsibilities:
- Greet patients as they arrive and provide an excellent experience
- Schedule, reschedule, and cancel patient appointments efficiently and accurately
- Answer phone calls, text messages, and emails in a professional manner
- Monitor schedule throughout the day, late and no-show appointments
- Schedule referring patient for first time appointments, upload paperwork and x-rays
- Confirm all first time appointments, email new patient forms, ensure all is paperwork completed
- Schedule Invisalign aligners pickup and deliver additional aligners at the front desk
- Ensure all patients are checked out at the end of the day, scheduled for future appointments and all chart notes updated
- Manage recall system, follow up with existing patients due for appointments and ensure no one falls through the cracks
- Manage lost patients list, track, follow up, and work to re-engage patients who have gone inactive
- Assist with filing, scanning, and other administrative duties as needed
- Maintain a clean and inviting environment, including opening, closing office duties & ordering office supplies.
- Provide general customer service and attend to the needs of patients as the first point of contact
Qualifications
- High school diploma or equivalent; associate degree or higher preferred
- 1+ year of experience, in a dental office or medical office setting is highly desirable.
- Excellent communication skills with a commitment to customer service
- Experience with Mac computers and practice management software (Cloud9, Dolphin, etc.) preferred
- Proficiency in Microsoft Office, Google Workspace, and general computer systems
- Strong organizational and multitasking skills
- Strong work ethic and positive attitude
Salary:
- $25-32 per hour depending on experience and qualifications,
