Part Time 4PM – 8PM Saturday & Sunday
Responsibilities Include:
1) Answering the phone and transferring to the correct person / department.
2) Greet all visitors, and ensure all visitors are checking in properly and assist with direction
3) Responsible for receiving packages from delivery services including food deliveries.
4) Asist with handing out and receiving job applications.
5) Maintain a clean workstation.
The Concierge will be responsible for sorting and distributing mail. The contact person for North Brook Mail will be Heather Dolce and Elmwood Hills (TBD). Distributing resident PNA requests from the social workers. The Concierge will be responsible for notifying the Security Director for ordering and maintaining desk supplies,
Handles calls coming in for Northbrook and transfers as necessary to the proper person/department. Responsible for receiving mail/packages and giving/take in applications and notifying if an interview is here. If someone comes in for Northbrook, we direct them to the Security office in the back of the building, unless it’s during visitation hours. Security is there to handle visitation for Northbrook, so it normally doesn’t affect the Concierge. Unless they can assist in any way and are willing to do so if needed. Patient discharges, belonging drop-offs (are directed to the back of the facility to Security. If anyone is here for an interview, we call the recruiter to inform them and any scheduled visitors with an appointment; we call the appropriate department.

List of things to do 1st thing in morning:
- Front doors must be unlocked by 8:00am, make sure the alarm has been turned off by security before opening.
- Sanitize the kiosk, desk, computer and phone.
- Place tissues and hand sanitizer bottles next to kiosk. The box with masks is on the desk.
- All supplies are kept locked in the far-right cabinet by the mailbox. If any supplies are running low, leave a note for Kathi and she will order them.
- Remember to check the Elopement book and sign the calendar and look through the Security book.
- The Concierge will maintain view of video to insure:
1) Visitors following directions
2) Monitor who enters the building
3) Excessive parking in front of the building
- Replace the sticker label roll when it is empty, kept in a far-right cabinet, brown/white box.
End of Shift:
- Put away the tissues, hand sanitizer and walkie in the far-right cabinet.
- Sanitize the kiosk (use white container only), desk, phone and computer.
- Replace mask box if needed. Please do not put new masks on top of old ones.
- Make sure the cabinets and PNA drawer are locked.
- Take any keys that are left to Security when you leave.
- Remember to take the two trash bags out and place outside the gate.
- Email that the doors have been locked per the procedures.
ELMWOOD VISITORS:
- Visitors and vendors MUST sign in and out on the kiosk.
- A badge may be given in exchange for visitor’s car keys and put in drawer until badge is returned. Do not use the badges in the bottom filing cabinet drawer for visitors. They are for the State and chaplains only.
- If visitor is signing in and the phone rings, let security pick up in back. First Priority is the visitor.
- Ensure the door is closed in the Wheel chair room behind the front desk
**Reminder: (Anyone coming in for Northbrook must drive around to the back and see Security)
MAIL:
- Check names with resident list for Elmwood, patient list for Northbrook and employee list for both facilities.
- Write floor # 1, 2, S1, S2 on front lower-hand corner (room # and unit not needed).
- Separate by floor 1, 2, S1 and S2 go together, Northbrook, Elmwood (Heather Dolce), County (put in gray mesh bin on counter). Greeting cards/magazines are set aside for Activities (Elmwood only). All NB mail goes to Heather D. and is placed on right side counter. Packages get logged on the packages received form for the social worker to pick up. Do not email them
- Rubber band mail together by floor and place a note on each with Floor #, leave for Heather Dolce or Elmwood Hills designee.
JOB APPLICATIONS:
- Must be filled out and completed in lobby and handed back to receptionist. No applications are allowed to leave the building.
- Check to see that everything was filled out and signed.
- Attach resume if included and place Elmwood in the top left drawer and NB over where their mail goes.
- If anyone calls to inquire about the status of the application, ask which facility and department and transfer there. If Nursing Elmwood Jill ext 6906, any other dept call that supervisor for Northbrook Eric ext 6408.
ELMWOOD PAYMENTS: To be completed by Elmwood Hills Designee
- Receipt book is in top left-hand drawer.
- Write a receipt with date, name of resident and amount only.
- Always sign bottom of receipt for check or cash and have the person giving it to you initial above your name.
- Give resident or family member WHITE copy, attach yellow to check or cash and put it in the brown envelope marked checks/cash received in cabinet with the supplies, also write it in on the log sheet inside the envelope.
ELMWOOD LABELING FOR CLOTHING: To be completed by Elmwood Hills Designee
- Residents or family members MUST complete clothing record form. (blue folder located in the bottom left drawer)
- Residents name & room # MUST be on form.
- Item, quantity and description MUST be filled out.
- Must be signed by receptionist and resident or family member with date.
- Attach form to bag and log it on the housekeeping sheet.
ELMWOOD SALON SERVICES: To be completed by Elmwood Hills Designee
- Forms MUST be completed by the resident, family member, nurse or social worker. Salon forms are in the black binder on desk marked Salon or pink folder in bottom left drawer.
- If paying with cash/check, MUST fill out receipt. When writing the receipt, write only the resident’s name, salon, amount and sign it and have the person initial also. Checks are made out to Elmwood Hills. Put all receipts/payments for the day in the brown envelope in the supply cabinet and write it in on the log sheet. If PNA write that on top of salon sheet. You do not need to write the amount that was paid on the salon form, only paid and your initials.
STATE DEPARTMENT OF HEALTH INSPECTION:
- If the STATE arrives, ask for ID and see if they are here for Elmwood or NB, have them sign in on the kiosk, give them a badge (bottom drawer of filing cabinet) and have them sit in conference room C. Call security to make announcement, ask them to do an Extension 13 lobby. (Elmwood Only). This is also done if the Ombudsman or any other state/county official is to come in.
