Administrative Personal Assistant
Marine Construction | Full-Time | Hybrid

We are a growing marine construction company looking for a warm, detail-oriented Administrative Personal Assistant to be a trusted partner to our leadership team. In this hybrid role, you'll play a meaningful part in keeping our projects organized, our clients well cared for, and our team connected. What You'll Do
Project Support
- Track milestones, deadlines, and deliverables across active marine construction projects
- Maintain and organize project documentation, permits, contracts, and correspondence.
- Help keep communication flowing between field crews, subcontractors, and internal teams
Scheduling & Calendar Management
- Coordinate calendars for leadership and project teams, including site visits, client meetings, and vendor appointments
- Spot potential scheduling conflicts early and help find solutions
- Assist with and prepare materials for meetings.
Customer Relations & Intake
- Be the welcoming first voice clients hear — fielding inquiries by phone and email with care and professionalism
- Lead initial intake conversations to learn about a client's project, timeline, and needs
- Connect clients with the right team member and ensure they feel supported every step of the way
- Nurture ongoing client relationships throughout the life of each project
General Administrative Support
- Keep digital and physical filing systems organized and easy to navigate
- Draft reports, proposals, meeting notes, and correspondence
- Assist with invoicing, purchase orders, and vendor coordination
- Handle sensitive information with care and discretion
What We're Looking For
- 3–5 years of experience in an administrative, executive assistant, or office management role
- Familiarity with construction, marine, or a trade industry is a plus — but not required; we're happy to teach the right person
- A natural communicator who makes clients, contractors, and colleagues feel at ease
- Strong organizational skills and the ability to manage multiple priorities with grace under pressure
- Comfortable with Microsoft Office Suite; experience with project management or CRM tools (e.g., Buildertrend, Procore, HubSpot, or similar) is a bonus
- Someone who takes initiative and works well independently, while staying genuinely connected to the team
