Role Description - about you
This position works with the Delivery Manager and Delivery Team, as well as the the salespeople at all 3 locations, to ensure a seamless and efficient process from the time of sale to the day of delivery. Clear and constant communication with customers is of utmost importance. We are looking for someone who has great communication skills as well as the organizational and computer skills needed to ensure a successful delivery.
Primary responsibilities
- Manage the full order to delivery process using Quickbooks online and Google Spreadsheets
- In Quickbooks: customer account setup, invoicing, payment processing, payment collection, reconciliation and cancellations.
- Spreadsheets: Maintain and update intercompany information to ensure accuracy and alignment across all departments.
- Review sales agreements from all stores, ensuring spa orders are accurate and free of errors before placing spa orders in our dealer portal.
- Stay in regular contact with the factory to monitor customers' orders from the time the order is placed to when the spas arrive at the warehouse. Communicate details of each load with the transport driver weekly.
- Generate and update customers files for delivery crew, ensuring accurate records in QuickBooks and on the calendar.
- Communicate with customers utilizing the company texting platform, to ensure they have met all requirements for delivery.
- Working with our delivery team and the customer, schedule spa deliveries and regularly review the Google Calendar for inefficiencies, unqualified assignments, and duplicates to enhance scheduling effectiveness and resource allocation.
- Occasionally working with 3rd party crane contractors when needed for delivery.
- Continue to communicate with customers verifying that they are informed from the time of purchase up to the spa installation, and ensuring that all is complete and all issues are resolved, resulting in high customer satisfaction.
Required Skills
- 2 years minimum Quickbooks online experience
- Above average computer skills.
- Working knowledge of Google Workspace, specifically spreadsheets and calendar
- The ability to easily adapt to new programs as they are utilized by the company.
- Scheduling and logistics experience
- Attention to detail and information organization skills
