Job Summary:Responsible for supporting the Nursing Office Secretary in delivering administrative and operational support to the Garden City Nursing Office. This role ensures efficient coordination of office functions, communication, inventory management, and documentation while maintaining organization and workflow within a fast-paced clinical environment.

Key Responsibilities:

Assist in maintaining the organization and administrative operations of the nursing office
-
Manage phone triage, including receiving and routing calls related to physicians and hospital coordination under supervision
-
Maintain and update electronic systems, including scanning and logging medical documentation into EMR
-
Support ordering and inventory management of medical supplies, including injectable and implant tracking
-
Process purchase requisitions, matchinvoicesand packing slips, and ensure proper approvals
-
Act as liaison between vendors and internal teams (Patient Care Coordinators, Office Managers, Supply Chain, Facilities, Nursing Leadership)

Monitor and communicate scheduling changes, equipment needs, and inventory issues to leadership (ONM, AONM, DON)

Coordinate equipment repairs, track progress, and manage associated documentation and approvals

Maintain and log implant returns andassistwith monthly injectable inventory reporting

Coordinate with anesthesia group to provide updated OR schedules
-
Assistwith surgical equipment reservations and coordinatelogisticswith Facilities Management

Support nursing leadership with clearances, lab work, and daily staffing adjustments
-
Identifyworkflow inefficiencies andassistin implementing process improvements
-
Develop andmaintainworking knowledge of Nextech; generate reports as requested
-
Take meeting minutes andassistwith preparation and coordination of quarterly nursing meetings
Education Requirements:

High School Diploma or equivalent(required)

Associate Degree in Healthcare Administration, Business Administration, or related field(preferred)
