GENERAL DESCRIPTION OF POSITION:
Lucas Christian Academy seeks a detail-oriented and mission-driven Accounting Coordinator to support the daily accounting and financial operations of the school. This position works collaboratively with the Finance Director and Financial Coordinator to ensure accurate financial records, timely reporting, compliance with funding requirements, and excellent service to families and staff.
The Accounting Coordinator will assume responsibility for many day-to-day accounting functions, reconciliations, tuition and funding administration support, and financial recordkeeping, allowing the Finance Director to focus on strategic financial planning, budgeting, analysis, payroll oversight, and organizational leadership.
This position requires strong accounting skills, exceptional attention to detail, discretion with confidential information, and the ability to work collaboratively across departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Prepare and post journal entries.
Perform monthly account reconciliations, including bank accounts and balance sheet accounts.
Research, analyze, and correct accounting discrepancies.
Review transactions for proper coding and prepare necessary reclassifications.
Assist with capitalization and fixed asset tracking.
Maintain accurate supporting documentation for financial records.
Support month-end and year-end closing processes.
Assist with preparation of financial reports and supporting schedules.
Tuition and Student Financial Administration
Assist with tuition billing administration through FACTS.
Support tuition adjustments, family account maintenance, and student account reconciliations.
Process enrollment changes, withdrawals, and schedule adjustments impacting tuition billing.
Coordinate with the Registrar and Admissions team regarding student status changes affecting financial records.
Assist families with billing inquiries as needed.
Scholarship and Funding Administration
Administer and track TEFA and other educational funding programs.
Monitor student eligibility, documentation requirements, and funding submissions.
Maintain accurate records and reconciliations related to scholarship and state-funded programs.
Ensure compliance with funding guidelines and reporting requirements.
Work with families and school staff regarding funding-related questions.
Cash Management and Revenue Processing
Reconcile Stripe, Square, FACTS, and other payment platform activity.
Record and reconcile electronic payments and deposits.
Assist with cash receipt tracking and account reconciliation.
Monitor outstanding balances and assist with collection follow-up as needed.
Financial Operations Support
Cross-train in critical finance office functions to provide coverage as needed.
Support finance office operations during staff absences.
Maintain financial procedures and documentation.
Assist with audit preparation and requests from external accountants.
Collaborate with the Finance Director on process improvements and operational efficiencies.

Associate's degree, Bachelor's degree, or equivalent experience in accounting, bookkeeping, finance, or business administration preferred.
Minimum of three years of accounting, bookkeeping, finance, or related business experience.
Experience with nonprofit, educational, church, or small business accounting preferred.
Experience with tuition management systems, FACTS, or student information systems is a plus.
Experience administering scholarship, grant, or state-funded programs is highly desirable.
Experience with QuickBooks or similar accounting software is preferred.

Proficiency with Microsoft Excel and financial software systems.
Ability to analyze financial transactions and identify discrepancies.
