The Village Improvement Society of Greater Idaho Falls is looking for a motivated Administrative Assistant to provide administrative and operational support to ensure the efficient day-to-day functioning of the organization. This position serves as a key point of contact for Board of Directors, members, volunteers, donors, and community members while assisting with office administration, communications, record keeping, and event coordination. This position supports the organization’s mission by providing reliable administrative services that enable the board, members and volunteers to effectively serve the community.
Key Responsibilities:
· Prepare correspondence, reports, meeting agendas, minutes, and other documents.
· Assist with newsletters, social media, and website updates. Including creating content and updating platforms on a routine schedule.
· Assist with data entry and record maintenance.
· Support board meetings by preparing meeting materials and maintaining records.
· Process donations and issue donor acknowledgments.
· Maintain accurate contact lists and organizational records.
· General bookkeeping. Prepare basic financial records, invoices, and expense documentation.
· Assist with planning and coordinating meetings, fundraising events, and community activities.
· Prepare materials and registrations for program events.
· Coordinate volunteer communications and scheduling as needed.
· Perform other duties as assigned to support the organization’s mission.
· Maintain confidentiality of organizational and donor information.
Minimum Qualifications
· High school diploma or GED.
· Two or more years of administrative, office, or customer service experience.
· Proficiency in Microsoft Office (Word, Excel, Outlook) or Google Workspace.
· Strong written and verbal communication skills
· Excellent organizational skills and attention to detail.
· Ability to maintain confidentiality
Preferred Qualifications
· Associate’s degree in Business Administration, Office Administration, or a related field.
· Administrative Professional Certificate or Office Administration Certificate from an accredited college or training program.
· Three to five years of administrative experience, preferably in a nonprofit or public service organization.
· Experience with bookkeeping, QuickBooks, or basic accounting procedures.
· Experience with donor databases or CRM software.
· Experience supporting a board of directors, committees, or executive leadership
