The Intake Specialist is responsible for executing front-end revenue cycle functions that support accurate, compliant, and timely claim processing. Serving as a critical first step in the revenue cycle, this role performs insurance verification, authorization management, documentation coordination, and intake review activities to ensure payer requirements are met and claims are positioned for successful reimbursement while minimizing downstream denials and delays.
The Intake Specialist supports both new service and resupply workflows by validating coverage, obtaining and managing authorizations, coordinating required documentation, and ensuring all intake requirements are completed in accordance with payer and client guidelines. Working closely with the Senior Intake Specialist, Documentation Review, Billing, Accounts Receivable, and Patient Care teams, the Intake Specialist helps drive operational efficiency, maintain compliance, and support a seamless patient and client experience throughout the revenue cycle.
Key Responsibilities
Intake Processing & Execution
- Perform intake functions in accordance with Medbill standards and client-specific workflows
- Complete accurate and thorough insurance verification, including:
o Payer-specific guidelines
o Purchase vs rental requirements
o Frequency and coverage limitations
o Authorization requirements
- Initiate and follow up on prior authorizations and re-authorizations as required by payer guidelines
Documentation & Compliance Support
- Request CMN/SWO and other required documentation from referring providers via phone, fax, or other approved methods
- Request medical records from collaborating healthcare providers when needed to support claims
- Complete compliance-ready medical record review to ensure documentation meets payer requirements prior to billing
- Ensure all intake work supports clean claim submission and reduces risk of denials
Resupply Process Support
- Assist with or manage resupply workflows, which include:
o Patient outreach via phone, text, or email regarding resupply needs
o Verify insurance eligibility and coverage for resupply items
o Confirm compliance requirements are met o Provide financial counseling regarding patient responsibility o Communicate patient requests and updates to the client Quality & Process Adherence
- Follow standardized intake workflows, SOPs, and payer guidelines
- Maintain accuracy and completeness in all systems and documentation
- Identify discrepancies, missing information, or potential issues and escalate as appropriate Collaboration & Communication
- Partner with internal teams including Document Review, Billing, AR, Patient Care and Customer Relations to ensure smooth handoffs
- Maintain clear and professional communication with team members, providers, and patients
- Escalate complex issues, delays, or compliance concerns to Senior Intake Specialist(s) or Intake Lead
