Job Summary
The Consulting Operations Specialist keeps the consulting practice's operating backbone running — administering Atlassian tooling, managing staffing and resource allocation across active engagements, and maintaining the collaboration workspaces the practice runs on. This role consolidates work currently absorbed ad hoc by senior consultants and practice leads into a single, dedicated function, freeing billable time and giving leadership a reliable, single source of truth on capacity, delivery status, and tooling health. As the advanced level of the role, the Specialist II operates with autonomy across all workstreams, owns the higher-judgment scope — dedicated Atlassian administration, quarterly capacity planning, and financial-tracking configuration — and serves as the escalation point for complex tooling and staffing questions.
The Specialist partners closely with practice leads, engagement PMs, and the Sr. Director of PMO to keep Atlassian tooling, resourcing data, collaboration spaces, and hours/financial reporting accurate, current, and audit-ready.
Duties and Responsibilities
· Atlassian & Systems Administration
· Administer Jira issue types, workflows, and permission schemes
· Govern Confluence spaces — archive completed projects, enforce templates
· Manage Jira Service Management queues — intake, prioritization, SLAs
· Maintain Atlassian integrations (GitHub, Slack, Tempo, SSO) and resolve sync issues
· Generate Jira/Confluence exports for client deliverables and audits
· Monitor new Atlassian features and brief leadership on changes
· Audit custom fields, components, and issue types to reduce schema bloat
· Build and maintain Jira dashboards and filters
· Maintain Confluence documentation templates and SOPs
· Configure and maintain Jira automation rules
· Audit Confluence spaces, pages, and permissions
· Configure portfolio rollup views (Advanced Roadmaps / Plans)
· Triage tooling performance issues and escalate to Atlassian support
Resource & Staffing Management
· Reconcile staffing forecasts against actuals and adjust the capacity model
· Maintain the resource allocation tracker as assignments change
· Maintain the consultant roster — role, assignment, allocation %
· Log and track consultant time off
· Send weekly availability updates to team leads
· Flag scheduling conflicts and coverage gaps to the operations lead
· Prepare resource allocation reports for leadership
· Coordinate the monthly Consulting town hall (scheduling, agenda, decks)
· Maintain the consultant skills matrix and capability database
· Manage the bench — track availability, redeployment, and upskilling
· Maintain the staffing escalation log and track resolution
· Coordinate consultant onboarding onto projects (access, tools, intros)
· Support client staffing approvals, rate cards, and rate-change comms
· Coordinate subcontractor/1099 staffing — sourcing, onboarding, payment
· Plan ramp-down and rollover to minimize bench time
· Run quarterly capacity planning — demand, hiring needs, redeployment
Hours Trending & Financial Tracking
· Track weekly hours actuals vs. budget and flag at-risk engagements
· Maintain a rolling utilization tracker by consultant and team
· Track billable vs. non-billable ratios across the practice
· Monitor PTO and bench time to inform capacity planning
· Produce the monthly hours-trend summary for leadership
· Configure project budgets and plans in Jira Financial Manager
· Keep Financial Manager current with actuals for accurate budget-vs-spend
· Review budget-threshold alerts and escalate to project leads
· Maintain hours-trending dashboards for operations reviews
· Surface over-/under-allocation trends to leadership
· Provide ad hoc hours analysis for project managers
Collaboration Tooling & Workspace Administration
· Manage Slack channel structure — create, archive, rename
· Clean up inactive or redundant Slack channels
· Keep Slack channel descriptions and pinned resources current
· Create and archive SharePoint sites and Teams chats by project/client
· Maintain naming conventions and folder structure in Teams/SharePoint
· Set up recurring meeting series for consulting rituals (standups, reviews)
Consultant Onboarding Coordination
· Confirm hiring manager and onboarding guide are ready for day one
· Add new hires to relevant Slack channels and share the etiquette guide
· Share consulting ops SOPs and confirm review
· Schedule intro meetings with key team members
· Run a tools orientation (Atlassian, Slack, Teams, Tempo)
· Walk through time-logging expectations and Tempo submission
· Confirm accurate, on-time logging by end of week two
Expected Outputs
· Accurate, current Jira and Confluence configuration with clean schemas and up-to-date permissions
· A reliable, weekly-refreshed resource allocation tracker and consultant roster
· Weekly hours-trending and utilization dashboards, with monthly leadership summaries
· Timely, accurate Tempo reporting and billing-mapping with minimal missing-timesheet backlog
· A documented, current staffing escalation log and bench redeployment plan
· Well-organized Slack, Teams, and SharePoint workspaces with consistent naming and current, relevant channels and sites
· Consultants onboarded on schedule — tooling access, SOP review, and correct time-logging confirmed within the first two weeks
Required Competencies and Skills
· Atlassian Fluency: Hands-on administration experience with Jira (issue types, workflows, permission schemes, automation) and Confluence (spaces, templates, governance)
· Data & Reporting Rigor: Comfortable building and maintaining dashboards and trackers in Excel, Jira Financial Manager, and Tempo; catches discrepancies before leadership sees them
· Operational Organization: Manages many concurrent, recurring workstreams — staffing, tooling, reporting, and onboarding — without dropping details
· Clear Communication: Translates operational data into concise updates for practice leads and firm leadership
· Process Orientation: Documents and improves recurring processes rather than repeating ad hoc work each cycle
· Discretion: Handles staffing, rate, and performance-adjacent information with appropriate confidentiality
Experience and Education
· Bachelor's degree in Business, Operations, or a related field, or equivalent professional experience
· Minimum of 5 years of experience in operations, PMO, resource management, or a professional services / consulting environment, including at least 2 years in a dedicated Atlassian administration capacity
· Hands-on Jira and Confluence administration experience required; Jira Financial Manager and Tempo experience strongly preferred
· Experience supporting staffing, scheduling, or resource-allocation processes preferred
· Experience administering collaboration tools (Slack, Microsoft Teams, SharePoint) preferred
· Project or program management experience — formal certification (PMP, CAPM) or hands-on delivery PM experience — a plus
Pay: $100,000.00 per year
