Operations Coordinator
We are an established, locally owned service company in the Bluffton area looking for a sharp, dependable Operations Coordinator to join our office team.
This is not a position where you'll do the same few tasks every day. We're looking for someone who can keep a lot of moving pieces straight, follow things through to completion, and figure things out without needing someone to constantly stay on top of them.
You do not need experience in our industry. We'd much rather find someone who is organized, capable, curious, comfortable learning new things, and good at keeping their head when the day gets busy.
What You'll Do
This position will work directly with the owners and support different areas of the company. Responsibilities will grow as you learn the business and may include:
- Coordinating schedules, appointments, projects, and other moving pieces
- Preparing and sending quotes and estimates
- Following up with customers and answering questions by phone and email
- Ordering equipment and materials and tracking availability
- Coordinating with vendors, manufacturers, customers, and our field team
- Assisting with permits, warranties, registrations, and other required paperwork
- Entering and maintaining accurate information in our business management software
- Helping with dispatch and scheduling when needed
- Following up on outstanding items and making sure nothing falls through the cracks
- Researching problems, finding answers, and helping get issues resolved
- Assisting the owners with special projects and day-to-day operational needs
- Learning different areas of the company so you can step in and help wherever needed

The right person for this position is someone who takes ownership of what they're given. If you don't know how to do something, your first instinct is to figure out how rather than wait for someone else to handle it.

- Follows through without needing to be reminded
- Is curious, resourceful, and comfortable figuring things out
- Stays levelheaded when the phone is ringing and several things need attention at once
- Communicates professionally and comfortably with customers, coworkers, and vendors
- Learns new software and processes quickly
- Pays attention to details without losing sight of the bigger picture
- Is comfortable asking questions when necessary but can also work independently
- Is willing to jump in where needed instead of worrying about whether something is technically "your job"
- Takes pride in doing things correctly and finishing what they start
Experience in construction, property management, home services, a busy medical or professional office, logistics, scheduling, project coordination, or another fast-moving environment could be helpful, but it is not required.
HVAC experience is not required. We are willing to teach the right person our industry.
Schedule & Compensation
This is a full-time, primarily in-office position in the Bluffton area, generally Monday through Friday, 8:00 AM to 5:00 PM.
Starting pay is $24 per hour, with flexibility based on experience and capabilities, and room for increased responsibility and compensation as you learn the business and become able to handle more independently.
