General Overview
The Receptionist / Payroll Administrative Assistant / Recruiting Coordinator serves as the first point of contact for employees, applicants, visitors, and vendors while providing administrative support to Payroll and Human Resources. This position is responsible for front office operations, payroll data entry and administrative support, recruiting coordination, onboarding assistance, employee communications, and general office administration. The ideal candidate is highly organized, customer-focused, maintains confidentiality, and can effectively manage multiple priorities in a fast-paced environment.
Essential Functions
Reception & Office Administration
- Greet employees, applicants, visitors, and guests in a professional and courteous manner; determine the purpose of each visit and direct or escort individuals to the appropriate personnel.
- Answer, screen, and route incoming telephone calls; take accurate messages and respond to routine inquiries.
- Receive, sort, and distribute incoming mail, packages, courier deliveries, and other correspondence.
- Maintain office filing systems and ensure records are organized and up to date.
- Respond to routine administrative inquiries and escalate complex issues as appropriate.
- Coordinate travel arrangements, meetings, appointments, and conference room scheduling.
- Maintain office supplies and coordinate maintenance and service of office equipment.
- Maintain company phone directories, organizational charts, alarm systems, phone systems, and radio communications.
- Perform general administrative duties including filing, scanning, copying, labeling, and document preparation.
Payroll Administration
- Prepare, review, and enter harvest production and payroll-related data accurately and timely.
- Assist with payroll processing, including timecard review, payroll data entry, and payroll record maintenance.
- Process paid sick leave (PSL), vacation, and other payroll-related entries.
- Respond to routine employee payroll inquiries and direct complex issues to Payroll or Human Resources.
- Distribute payroll checks and payroll-related documentation.
- Maintain PTO calendars and PTO request records.
- Assist with the preparation of payroll reports and required government reporting
Recruiting & Human Resources Support
- Serve as the initial point of contact for employment applicants and provide a positive candidate experience.
- Screen employment applications and resumes to identify qualified candidates based on established hiring criteria.
- Conduct initial phone screenings to evaluate candidate qualifications, work experience, availability, and interest in employment opportunities.
- Schedule interviews and coordinate communication between candidates and hiring managers.
- Maintain applicant tracking records and ensure recruiting documentation is accurate and complete.
- Assist applicants and employees with routine questions regarding hiring processes, employment forms, payroll forms, address changes, and other HR-related matters.
- Assist with onboarding activities, including preparing new hire paperwork and conducting or assisting with new hire orientation.
- Prepare and maintain personnel files and HR documentation.
- Assist with preparation of HR reports, including attendance, turnover, new hire, and other workforce metrics.
- Assist with preparation and submission of government reports as assigned.
- Support benefits enrollment activities and employee communication initiatives.
- Assist with planning and coordinating employee recognition events, company meetings, holiday events, and other employee engagement activities.
General Responsibilities
- Maintain confidentiality of employee, payroll, and company information.
- Ensure accuracy and completeness of records and documentation.
- Support continuous improvement of administrative and HR processes.
- Perform other duties and responsibilities as assigned.

Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is primarily an office setting located on an active agricultural ranch and production property. While the position is primarily performed indoors, employees regularly interact with agricultural operations and may be exposed to varying environmental conditions associated with a farming environment. These conditions may include dust, dirt, mud, agricultural equipment traffic, noise, and seasonal weather conditions when moving between buildings or visiting operational areas. Work is generally performed in a climate-controlled office; however, maintaining a professional appearance and flexibility in an agricultural setting is required.
