Job Summary
The Practice Manager / HR Manager oversees the day-to-day operations, human resources functions, and regulatory compliance of the medical equipment company. This dual-scope role is responsible for ensuring the organization maintains all required state and federal licenses, accreditations, and Medicare/Medicaid supplier standards, while also managing staffing, employee relations, and HR policy administration. The ideal candidate is a highly organized, detail-driven professional with strong knowledge of DMEPOS (Durable Medical Equipment, Prosthetics, Orthotics, and Supplies) regulatory requirements and human resources best practices.
Key Responsibilities Licensing & Accreditation
Maintain and renew all federal, state, and local business licenses required to operate as a DMEPOS supplier, including tracking expiration dates and submitting renewals in advance of deadlines.
Serve as the primary point of contact for accrediting organizations (e.g., ACHC, CHAP, BOC, The Compliance Team) and coordinate all accreditation surveys, audits, and re-certifications.
Develop, update, and enforce policies and procedures manuals required to meet accreditation standards and quality/performance benchmarks.
Maintain licensure and credentialing files for the organization and applicable clinical/field staff, ensuring documentation is audit-ready at all times.
Coordinate state pharmacy board, board of equalization, and other regulatory filings as applicable to equipment and supply categories carried by the company. Medicare & Regulatory Compliance
Ensure ongoing compliance with Medicare DMEPOS Supplier Standards, including enrollment, revalidation, and reporting requirements through PECOS and the National Supplier Clearinghouse (NSC).
Monitor changes in CMS, Medicare, Medicaid, and private payer regulations and update internal policies, billing practices, and documentation procedures accordingly.
Oversee compliance with HIPAA privacy and security requirements, including staff training and breachresponse protocols.
Support internal audits and respond to Medicare/Medicaid audit requests (e.g., ADRs, CERT, RAC, ZPIC/UPIC) in coordination with billing staff.
Maintain the company's compliance program, including a compliance plan, code of conduct, and documented corrective action processes.
Coordinate with legal counsel and consultants on regulatory matters, surveys, and compliance investigations as needed. Human Resources Management
Manage full-cycle recruiting, onboarding, and offboarding processes for all staff positions.
Administer employee benefits, payroll coordination, PTO tracking, and personnel record-keeping in compliance with federal and California labor law.
Develop and enforce HR policies, employee handbooks, and workplace conduct standards; ensure consistent application across the organization.
Manage employee relations matters, including performance management, disciplinary actions, conflict resolution, and terminations.
Coordinate mandatory staff training (HIPAA, OSHA, infection control, compliance, equipment safety) and maintain training records for accreditation and survey readiness.
Ensure compliance with wage-and-hour laws, workers' compensation requirements, and required employment postings/notices.
Support a positive workplace culture and assist leadership with organizational development and staffing plans. Practice Operations
Oversee day-to-day administrative operations, ensuring efficient workflow between intake, billing, warehouse/delivery, and clinical staff.
Track and report key operational, compliance, and HR metrics to ownership/senior leadership.
Manage vendor and contractor relationships related to compliance, accreditation consulting, and HR services (e.g., PEO, benefits brokers).
Lead or support internal committee meetings related to quality assurance, safety, and compliance. Qualifications Bachelor's degree in healthcare administration, business administration, human resources, or related field (or equivalent combination of education and experience).
3-5+ years of experience in healthcare practice management, HME/DME operations, or a closely related healthcare administrative role; prior HR management experience strongly preferred.
Demonstrated experience with Medicare DMEPOS supplier standards, PECOS enrollment/revalidation, and accreditation processes (ACHC, CHAP, BOC, or similar).
Working knowledge of HIPAA, OSHA, and federal/California employment law.
Prior experience managing accreditation surveys, licensure renewals, or regulatory audits preferred.
Strong organizational, written, and verbal communication skills with high attention to detail.
Proficiency with HR information systems (HRIS), payroll platforms, and standard office/document management software.
Ability to manage competing priorities across compliance, HR, and daily operations in a deadlinedriven environment. Work Environment
Primarily office-based at the company's main location, with occasional travel to branch locations for audits, training, or HR matters.
Standard business hours, with occasional flexibility required around survey dates, deadlines, or urgent compliance matters.
Pay: $75,000.00 - $120,000.00 per year
