What you’ll do (key responsibilities)
- Manage all One Call (811) and utility locate tickets: enter, update, distribute completed tickets, and coordinate positive responses with field crews and inspectors.
- Maintain and own expiration/compliance calendars (DOT requirements, permits, certifications, quarterly testing reminders); ensure deadlines are met and documentation is complete.
- Track temporary on-site rentals and coordinate deliveries/pickups to prevent unnecessary charges.
- Maintain asset inventories and tracking: gas monitors, GPS units, and other field equipment — log issuance and returns and keep accurate records.
- Prepare and organize site-specific documentation and required project files (SHEP, site plans, water sampling paperwork); submit required files to company reps and stakeholders.
- Support ESG reporting tasks; maintain accurate filing and bid-support inputs as needed.
- Coordinate with third-party IT and vendors to resolve technology issues that affect field communication, GPS setups, and virtual meetings.
Who you are (must-haves)
- 2+ years administrative/logistics experience supporting field operations, construction, or utilities.
- Familiarity with One Call/811 processes, DOT compliance, or similar regulatory coordination.
- Highly organized with exceptional attention to detail and strong follow-through.
- Comfortable using spreadsheets and learning new systems.
- Strong communicator by phone and email; able to coordinate clearly with field personnel and vendors.
- Reliable transportation and valid driver’s license preferred.
- Dependable, steady work history and eagerness to grow into a long-term role.
- Keep job lists, bid-status tracking, and related documentation current to support smooth operations.
Nice-to-haves
- Experience with asset management systems or tracking equipment
- Familiarity with SHEP/safety documentation
