This position serves as the administrative backbone of our property management operations. Rather than managing properties directly, you will work alongside our property manager by handling the administrative side of projects so they can focus on tenant needs, contractors, and inspections. Responsibilities:
- prepare contracts, proposals, and business documents
- draft professional emails and correspondence
- schedule meetings and coordinate calendars
- take meeting notes and distribute follow up items
- organize digital and physical filing systems
- track project deadlines and outstanding tasks
- research vendors, products, materials, and pricing
- request and organize contractor bids
- maintain spreadsheets and project documentation
- assist with invoices, purchase orders, and administrative paperwork
- coordinate with tenants, vendors, contractors, engineers, and internal staff
- perform general administrative duties as needed
REQUIRED:
- high school diploma or equivalent
- strong computer skills
- proficiency with Microsoft Outlook, Word, Excel, and Adobe
- strong organizational and time management skills
- Authorization to work in the US
- be able to pass a drug test
- valid driver's license
PREFERED NOT REQUIRED:
- administrative or office experience
- experience in commercial real estate, construction, property management, or project coordination
