A global industrial equipment supplier is currently searching for an experienced Sales Administrative Coordinator to join their team in Schaumburg, IL area. The ideal candidate has previous data-entry, customer support, and/or inside sales experience with equipment suppliers, and a positive, team-oriented mindset.
This is a full-time, direct hire position with a comprehensive benefits package, including medical, dental, vision, and life insurances, short- and long-term disability insurances, FSA, pet insurance, and 401k plan.
Sales Administrative Coordinator Responsibilities:
- Act as a point of contact for customers regarding order status, logistics tracking, questions and issues, etc. via phone and email
- Prepare sales quotations in Japanese and English
- Prepare and issue purchase orders, invoices, sales orders, and record transactions as required
- Handle payment collections (accounts receivable) and import and export operations (preparing customs invoices and related documents)
- Interface with other internal departments and external suppliers (both domestic and international) as needed
- General clerical duties, including but not limited to: scheduling, records management, data entry, handling general phone inquiries about the company, and greeting visitors on arrival and directing them appropriately
- Assist with scheduling for travel, appointments, and meetings for executive managers and external visitors, and track / submit expense reports
- Monitor inventory levels and coordinate with purchasing departments to procure materials for the office
- Assist with analysis of department functions and participate in improvement initiatives
- Other duties as assigned
Sales Administrative Coordinator Requirements Include:
- High school diploma or GED, associate degree preferred
- 5 to 10 years of previous office experience, ideally with a background in inside sales, purchasing or logistics.
- Bilingual ability in Japanese and English. Conversational ability in speaking and listening and the ability to prepare written sales quotations in Japanese and English is a requirement.
- Strong computer skills and experience in Microsoft Office applications
- Familiarity with ERP software or data entry systems preferred
- Ability to be self-sufficient and work independently with minimal direct supervision
- Good communication and collaboration ability in a multicultural environment
- Strong problem-solving and time management skills
- Excellent interpersonal skills, including written and verbal communication, and a customer service demeanor

Pay: $60,000.00 - $65,000.00 per year
