The K-8 BCS office serves as the primary point of contact for families. We desire the office atmosphere to be one of heaven on earth, and the Office Manager is critical to setting this tone and building a Kingdom culture. In addition, the K-8 Office Manager provides administrative leadership for the office, ensuring efficient operation and supporting faculty, staff, students, and families. Reporting to the Operations Director, this role oversees office systems and recordkeeping, while modeling a Christ-centered approach to service and professionalism. This position is vital in ensuring effective communication between the school and its families, and in creating a safe, welcoming environment for all students and visitors.
Hours: This is a full-time position, schedule for 40 hours per week, during weeks of school operation.

Job Requirements

Oversees daily office operations, including front desk reception, phone/email communications, and parent inquiries.

Support the K–8 Principal and Operations Director with administrative tasks, scheduling, and coordination.

Substitute coverage coordination and communication with BCS HR.

Maintain school supplies, order as needed, and manage inventory.

Coordinate staff events, including hospitality, staff birthdays, and appreciation activities.

Provide staff support for administrative needs, including scheduling, documentation, and communication.
-
Assisting with student health needs and record-keeping.
-
Update and maintain the school handbook as directed by school leadership.
-
Supervise volunteers, and student helpers as assigned.

Ensure compliance with school policies, procedures, and relevant state regulations.

Model and uphold the school’s Christian mission, values, and professional standards in all interactions.

Responsibilities include:

Front Desk:
-
Answering all incoming phone calls, directing them to the appropriate staff members or departments, and providing accurate information as needed.

Monitoring and responding to emails sent to the main school office account in a timely and professional manner.

Greeting and assisting visitors, including parents, guardians, and community members, ensuring they feel welcome and are directed to the correct locations or individuals within the school.

Supporting students who come to the office feeling unwell. This may include providing basic first aid, monitoring for symptoms of illness or injury, and contacting parents or guardians when necessary.

Maintaining a calm and professional presence, especially during busy times or when handling emergencies or sensitive situations.

Preparing materials such as pickup cards, awards, and certifications.

Attendance:
-
Greet late students and issue tardy slips as needed.
-
Ensure attendance is accurately recorded for all classes, categorizing students as present, late, or absent.

Communicate promptly with parents regarding student absences.
-
Track tardies, generate reports, and notify parents when students reach designated thresholds.
-
Monitor absences and initiate SARB letters when necessary to comply with school policies.

Independent Study (IS):
-
Serve as the primary contact for parent inquiries and requests regarding independent study.

Communicate expectations clearly to parents to ensure understanding and agreement with IS requirements.

Prepare, log, and distribute IS packets to teachers.
-
Monitor completion of IS work, ensuring folders are returned and documenting completed and incomplete assignments.
Minimum Qualifications
-
A personal and growing relationship with Jesus Christ and alignment with the school’s statement of faith and mission.

A high school diploma is required. A bachelor’s degree in Education, Business Administration, Office Management, or a related field is preferred.

At least 3 years of administrative experience, preferably in a school or educational setting.

Strong organizational, communication, and interpersonal skills.

Ability to manage multiple priorities, maintain attention to detail, and follow through on tasks.

Proficiency in Microsoft Office, Google Workspace, and student information systems.

Ability to fulfill the physical and work requirements of the job. (See attached)

Ability to pass a criminal background check as well as educational employment history check and reference check.

BSSM Graduate
-
Experience in a Christian school or faith-based educational environment.

Familiarity with K–8 operations, scheduling, and office management software.

Experience coordinating school events, parent communications, and operational logistics.

Strong problem-solving skills and a proactive approach to supporting school leadership.

Knowledge of California school regulations and documentation standards.
