Wildflower Upstate New York Charter School is a teacher-led Montessori public charter school preparing to serve students in Ballston Spa, New York. Our school is an intentionally small school, authorized in 2026, and opening to students in August 2027. Our micro-school will have approximately 5 staff members and serve 28 students in its first year, expanding to 10 staff and 64 students by year 5. The school is affiliated with the Wildflower Foundation and operates in alignment with its Principles, Values, and Norms, emphasizing small-scale, community-embedded, and teacher-led governance.
We seek a Human Resources Services Provider to deliver comprehensive back-office HR support, including personnel administration, compliance, payroll coordination, benefits management, and advisory services. This partner will support the school in establishing clear and compliant HR systems, ensuring adherence to New York State and federal employment regulations, and building internal capacity among Teacher Leaders in areas such as hiring, on-boarding, and staff development.
The selected provider will function not only as a service vendor but as a collaborative partner, helping ensure that HR processes are transparent, accessible, and aligned with a teacher-led governance model. This includes supporting a healthy workplace culture, maintaining accurate employee records, and providing guidance on policies and best practices that sustain a small, mission-driven educational environment.
Key Responsibilities
The Human Resources Services Provider will deliver the following services:
Workforce Planning & HR Administration
- Coordinate hiring, on-boarding, and personnel records
- Prepare core HR reports (staffing, leave, benefits)
- Support annual HR planning and staff development
HR Operations & Employee Lifecycle Management
- Oversee on-boarding, off-boarding, and role/compensation changes
- Support timekeeping, leave tracking, and benefits coordination
- Maintain clear employee communications and documentation
Compliance & Regulatory Management
- Ensure compliance with federal, state, and local employment laws
- Support personnel compliance with New York State Education Department and authorizer requirements
- Maintain policies, handbooks, and required reporting
- Monitor and advise on regulatory changes
Payroll & Audit Support
- Coordinate payroll inputs and ensure data accuracy
- Support audits, filings (W-2s, 1099s), and documentation
- Ensure proper employee and contractor classification
Systems & Capacity Building
- Implement and improve HR systems and processes
- Train and support school leadership on HR practices
- Ensure tools and policies are accessible and effective
Ongoing Collaboration
- Participate in regular leadership meetings
- Provide ongoing HR guidance to support organizational health
Qualifications & Experience
Organizational Capacity
- Proven ability to provide HR services to small organizations
- Strong infrastructure to deliver consistent, high-quality HR support
Experience & Effectiveness
- Experience working with schools, preferably charter schools in New York State
- Demonstrated success supporting HR compliance, employee relations, and personnel administration
- Experience working with small or single-site organizations is strongly preferred
Technical Expertise
- Proficiency in HRIS and payroll systems (e.g., Gusto, ADP, or similar platforms)
- Knowledge of federal and state employment laws and regulations
- Experience with nonprofit or public-sector HR practices preferred
Personnel Qualifications
- Relevant credentials (e.g., SHRM-CP, PHR, or equivalent HR certifications)
- Experience providing senior-level HR advisory services

- The anticipated time commitment for this role is approximately 5 hours per month, though actual hours may vary based on business needs. Compensation will range from $75–$100 per hour, commensurate with experience.
