Rochester Laser Center is a luxury, membership-based medical spa in the heart of downtown Rochester. We offer advanced aesthetic care, including injectables, HydraFacial, microneedling, radiofrequency, and laser treatments, in a warm, polished, and discreet environment. Our members come to us for results and stay for the experience. The front desk is where that experience begins and ends, and it is one of the most important roles in the practice.
The Role
We are looking for a polished, warm, and highly organized Patient Concierge to be the first and last impression for every patient who walks through our doors. You are the calm, capable presence at the center of the practice: greeting members by name, keeping the schedule running smoothly, handling payments and memberships with care, and making sure the space always feels as premium as the treatments we deliver. This is a guest-experience role as much as an administrative one. What You Will Do
- Welcome and check patients in and out with genuine warmth, professionalism, and discretion
- Manage the appointment schedule in Mindbody: booking, confirming, rescheduling, and optimizing the daily flow
- Answer phones, texts, and emails promptly, and turn inquiries into booked appointments
- Process payments by cash, check, and credit, and accurately manage the front-desk cash drawer
- Support our membership program in RepeatMD: enrollments, renewals, and answering member questions
- Recommend and check out retail products, and help keep the retail area beautifully presented
- Maintain the reception, waiting area, and beverage service so the space always feels welcoming and luxurious
- Open and close the front desk according to practice procedures
- Coordinate with providers to keep the day on schedule and communicate any changes to patients
- Protect patient privacy and maintain accurate, confidential records at all times
- Support light marketing touchpoints such as appointment confirmations, follow-ups, and review requests
What You Bring
- Previous reception, front desk, or customer service experience; medical spa, salon, hospitality, or luxury retail is a strong plus
- Experience with Mindbody or a similar scheduling and point-of-sale system preferred
- A warm, professional, and polished presence in person, on the phone, and in writing
- Excellent organization and the ability to juggle multiple priorities without losing your composure or your smile
- Comfort talking with members about memberships and retail in a natural, no-pressure way
- Reliability, discretion, and a genuine team-first attitude
- Availability that includes some Saturdays
- Confidence with technology and a willingness to learn our systems
Nice to Have
- A genuine interest in skincare and aesthetics
- Prior experience handling payments and reconciling a cash drawer

Pay: $18.00 - $24.00 per hour
