Position Summary
The Office Administrator is the central point of communication for our collision repair shop. This position plays a vital role in creating a positive customer experience while ensuring the daily operations of the office run smoothly and efficiently.
You will communicate with customers, insurance companies, vendors, and our production team while managing repair documentation, scheduling, accounts payable and receivable, customer updates, and general office administration.
No two days are exactly the same. Success in this role requires organization, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities Customer Service
- Welcome customers in person and by phone with a friendly, professional attitude.
- Answer incoming phone calls and direct inquiries appropriately.
- Schedule estimates, vehicle drop-offs, and repair appointments.
- Check customers in and out of the repair process.
- Explain repair procedures, timelines, and next steps.
- Provide proactive repair status updates throughout the repair process.
- Handle customer questions, concerns, and complaints professionally.
- Communicate with customers regarding vehicle pickup, delays, and payment information.
- Maintain a positive customer experience from the initial estimate through final vehicle delivery.
Administrative Responsibilities
- Create and maintain customer repair orders and files.
- Prepare repair folders and ensure documentation remains complete and organized.
- Enter and update information in the shop management system.
- Maintain accurate customer records and communication logs.
- File paperwork promptly and accurately.
- Protect confidential customer and business information.
- Assist ownership with administrative projects and daily office operations.
- Keep the office organized, clean, and operating efficiently.
Insurance Coordination
- Communicate with insurance companies regarding repair claims.
- Submit and monitor insurance supplements.
- Follow up on pending approvals.
- Maintain documentation of insurance communications.
- Update customers regarding insurance claim progress.
Parts & Vendor Coordination
- Order repair parts from vendors.
- Track parts orders, deliveries, backorders, and returns.
- Verify incoming parts for accuracy and damage.
- Communicate with vendors regarding shortages or order issues.
- Coordinate parts availability with the production team.
Financial & Accounting Duties
- Process customer payments.
- Prepare invoices and final billing.
- Maintain accounts receivable records.
- Assist with collections and outstanding balances.
- Enter vendor invoices into QuickBooks.
- Process accounts payable, including ACH payments and checks.
- Record payment information accurately.
- Prepare deposits as needed.
- Assist with payroll preparation and employee timecard verification.
Office Operations
- Maintain office supply inventory and place supply orders.
- Review daily schedules and prepare for customer appointments.
- Coordinate communication between customers, technicians, estimators, insurance companies, and vendors.
- Complete opening and closing office procedures.
- Assist with maintaining business records and documentation.
- Support overall shop operations wherever needed.
QualificationsRequired

- Experience in an automotive, collision repair, or insurance environment.
- QuickBooks experience.
- Accounts payable or bookkeeping experience.
