Essential Duties and Responsibilities
The Staff Assistant is responsible for providing clerical organizational support to the LBV Environmental Center and is responsible for the management of the office. This position reports directly to the LBVEC Director. As an employee of Laredo College (LC), you are expected to adhere to the LC Employee Handbook, the LC Local and Legal policies(www.laredo.edu), and the Vice President of Institutional Advancement’s (VPIA) expectations and protocols at all times. In addition, confidentiality agreements should be signed every year on NEOED.
Characteristic Duties and Responsibilities

Performs secretarial and clerical duties, including typing, word processing, mailing, maintaining records, and preparing budgets and reports for the Director in accordance with established policies and procedures.

Maintains financial records and running balances for all LBVEC merchantile accounts; prepares and files reports and required documentation for the department, the division, and the LC Business Office.

Keep a visitor/group log to track daily, weekly, and monthly traffic.

Assists with employee records and prepares timesheets and/or tracks hours using TimeClock Plus for all staff, student workers, and grant-funded personnel.

Performs and trains student workers/workstudies/volunteers in receptionist duties, including answering telephone calls, taking messages, scheduling appointments, and greeting visitors.

Assists the Director in the preparation of grant proposals by collecting, organizing, and processing required information.

Assists the Wildlife Education Coordinator to schedule and organize Summer Camps and prepares materials and logistics for camp sessions; Oversees proper food handling and preparation, maintains required certifications (including Food Handler certification from the City of Laredo), and complies with all applicable guidelines and procedures.

Assists the LBVEC staff/Events Department in scheduling school bus tours and group visits to LBVESC; coordinates with tour guides and ensures that transportation and admissions are properly processed.

Assists the Director in scheduling meetings, special programs, exhibitions, conferences, and other activities when needed.

Assists the Director in coordinating with various Laredo College departments and external agencies, including the City of Laredo and Webb County.

Assists in mentoring volunteers and work-study students on LBVEC general operations.

Assists with the wildlife care facility and operations of the LBVEC.

Performs other duties as assigned by the Director and/or the VP of Institutional Advancement.

Required:

High School graduate or equivalent with 1-year post-high school training in secretarial, clerical, and accounting skills.

One or more year experience in a work setting that requires accounting, secretarial, clerical, and Interpersonal skills.

Must obtain Food Handler Certificate from the City of Laredo.

Must have a valid Driver’s License and current car insurance to travel as required. In accordance with CJ (Local), while driving on College District business, employees are required to abide by all applicable laws, rules, regulations, ordinances, policies, and procedures.

Introductory Review Period
All hires are subject to a 90 day introductory review period.

Assists in supervising volunteer workers and work-study students.

Reports to the Director and Vice President of Institutional Advancement.
Physical Requirements
While performing the duties of this job, the employee is regularly required to sit.
The employee is occasionally required to stand, walk, stoop, kneel, or crouch.
The employee must occasionally lift and/or move items weighing up to 50 pounds.
