POSITION SUMMARY:
This position provides exemplary administrative and clerical support to the NYC office. This position involves the coordination of meetings and conferences, working on special projects; also answers all phone lines and assembles highly confidential and sensitive information. It involves dealing with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.
RESPONSIBILITIES:
General Duties:
- Manage calendars, phones, and emails for Executives. Schedule and coordinate complex activities, such as meetings, appointments, and travel arrangements.
- Make travel arrangements and prepare expense reports.
- Organize and prioritize large volumes of information and phone calls for Executive and administrative departments; respond promptly to requests for information. Work closely, in cooperation with other assistants to cover phones.
- Prepare, send, and coordinate mail, faxes, and express packages.
- Perform data entry and scan documents.
- Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Run personal errands when asked (i.e., pickup lunch).
- Assist other EA’s when necessary.
This is a full-time position. Days and hours of work are typically Monday through Friday, 9:00 a.m. to 6 p.m.
REQUIREMENTS:
- Bachelor’s degree required!
- 2+ years of hands-on administrative support experience working with C-Level Executives preferred.
- Must be able to discreetly handle sensitive and confidential material.
- Must be very detail-oriented and highly organized.
- Requires the ability to work with VIP clients and senior managemen.t
- Must have a keen sense of urgency and enjoy working at a fast pace.
- Requires knowledge of Microsoft Office programs and internet search engines. Must be tech savvy!
- Knowledge of operating standard office equipment.
- Excellent communication skills – written and verbal.
- Requires the ability to work both independently and in a team environment.
- Ability to prioritize projects and strong problem-solving skills.
- Good research skills and attention to detail.
