Chiropractic Front Desk Receptionist

Job Requirements:
- Bilingual – English/Spanish Required
- Ability to multitask in a fast-paced environment
- Previous receptionist and phone experience
- Office Workdays: Monday, Tuesday, Wednesday, Thursday, Friday and Saturday
- Flexible, detail-oriented, with strong organizational skills
- Team player who is focused on providing exemplary customer service to all patients
- Excellent written and verbal communication skills
- Ability to prioritize and multitask
- Working knowledge of Microsoft Office Suite and general computer literacy
Physical Job Requirements:
This position requires standing, walking, and physical activity throughout the workday. The employee can expect to walk approximately 6,000–10,000 steps per day, depending on patient volume and operational demands.
- Frequent standing and walking throughout the day
- Assisting patients to and from treatment areas
- Assisting in placing patients on therapeutic modalities as directed by clinical staff

- Upon passing the 90-day probation, you will receive an automatic raise of $1 per hour.
Responsibilities include, but not limited to the following:
● Open and close front office
● Customer service: acknowledge, smile, and greet patients upon arrival and dismissal
● Check in patients and guests upon arrival for their appointment, and check out
● Manage the flow of patients
● Be aware of the schedule and office at all times
● Make sure music is playing and tv is playing movies
● Consolidate/ Maintain schedule and alert the patients, Maribel, and therapists of schedule changes
● Turn on open sign
● Raise blinds in the front of the office
● Keep massage therapists/doctors on time
● Answer telephones and ensure proper message delivery to doctor and/or staff
● Manage daily emails by checking the Front Desk, Personal Injury, and Billing email
● Check Google chat throughout the day
● Responding to Slack within 24 hours
● Respond to patient questions and or concerns according to company policies
● Check voicemails first thing in the morning, before heading to lunch and, before end of day
● Shred scanned paperwork weekly
● Open all mail and scan into Click Up except mail pertaining to taxes
● Do a sweep of the office to ensure therapists have turned off the towel warmers and machinery at the end of the day
● Get card on file for new patients
● Sanitize the office with Lysol in the morning, midday, and end of the day
● Wipe down tablets and the front desk in the morning and sanitize pens
● Report to Maribel if there is an issue with either patient/employee or scanning on of the QR codes around the office to address the issue
● Ability to multitask (dealing with patients, answering phone calls, etc.)
● Ask patients at the end of their treatment how everything was with their treatment
● Answer phone calls from the time you clock in until the time you clock out
● Maintain a clean and friendly waiting area for patients
● Schedule appointments correctly
● Confirm appointments
● Follow up on no shows/cancellations of appointments
● Turn off a/c at the end of shift
● Send out referrals (MRI, Ortho, CT, Pain Management) within the same day; if not the following business day after following up with the representing law firm/attorney etc.
● Verify patients’ insurance within 2-3 business days after patient sends info
● Turn on diffusers in entire office at start up/turn off all diffusers and close out
● Scan clipboard patient forms before going to lunch and before the end of the day
● Know basic knowledge of flags and modalities
● Explain services offered in the office
● Register new patients and create new patient profile
● Prep clipboards for the day
● Assist with marketing events
● Receive payments for services: handle cash, checks or credit cards
● Create and maintain updated documents and spreadsheets
● Maintain correspondence with attorney from personal injury cases
● Perform other duties and responsibilities as requested of you by the doctor
● Immediately respond to timers going off in the office
● Assist patients with the use of therapeutic modalities: Cryotherapy (cold therapy), NormaTec (compression therapy), traction bed and spinal decompression
● Meet Performance Board monthly requirements
