Project Manager / Inventory Coordinator
Advanced Supply Chain International (ASCI) is currently seeking applicants to be considered for a Project Manager / Inventory Coordinator role. This position serves as the key leader responsible for building and managing a comprehensive inventory management program across multiple client sites in the western Denver metro area. The selected candidate will lead the initial inventory assessment and program development effort, then oversee ongoing inventory operations, procurement activities, reporting, and client coordination. This role requires a unique blend of hands-on inventory expertise, program management capability, and the ability to work independently in a federally funded environment.
Essential Duties & Responsibilities
Phase 1 – Site Assessment & Program Development
- Conduct physical site visits to assess current inventory conditions across multiple client locations.
- Lead comprehensive inventory counts and catalog existing supplies, including quantities, locations, condition, and expiration dates.
- Identify discrepancies, excess stock, shortages, and expired inventory; document findings in formal assessment reports.
- Establish inventory par levels and reorder points based on usage trends and site-specific requirements.
- Develop an Inventory Management Plan (IMP) and Standard Operating Procedures (SOPs) for inventory operations, replenishment, receiving, storage, and reporting.
Phase 2 – Ongoing Inventory Management Operations
- Monitor inventory levels and initiate replenishment orders before stock reaches reorder points.
- Process procurement activities in compliance with applicable federal procurement requirements and approved purchasing procedures.
- Conduct scheduled site visits, physical counts, storage inspections, stock rotation, and expired inventory removal.
- Receive, inspect, and process incoming deliveries; verify quantities and conditions against purchase orders.
- Maintain accurate, real-time inventory records and transaction documentation.
- Prepare and submit monthly inventory reports, including stock levels, expenditures, discrepancies, and recommendations.
- Serve as the primary point of contact between ASCI and the client.
- Attend meetings, respond to client inquiries, and escalate issues as appropriate.
- Ensure inventory complies with all applicable health, safety, and product requirements.
- Supervise and develop Inventory Support Specialists as staffing requirements grow.
- Support contract deliverables, performance reporting, and client communications as needed.
- Perform other duties as assigned.
Minimum Qualifications & Experience
- Bachelor's degree in Supply Chain Management, Business Administration, or a related field preferred. Equivalent combinations of education and experience will be considered.
- Minimum three (3) years of progressive experience in inventory management, materials coordination, procurement support, or supply chain operations.
- Demonstrated experience conducting physical inventory counts, establishing par levels, and developing inventory control processes.
- Experience working with inventory management systems, Excel, and Microsoft Office applications.
- Strong written communication skills with the ability to create reports, procedures, and operational documentation.
- Ability to work independently and manage multiple priorities across several locations.
- Valid driver's license and reliable transportation with the ability to travel regularly between client sites.
- Ability to successfully pass a State and Federal fingerprint background check in accordance with 45 CFR §1302.90.
- Ability to lift up to 35 pounds and perform physical inventory activities, including bending, reaching, standing, and walking for extended periods.
Preferred Qualifications
- Experience supporting federally funded programs.
- Familiarity with 2 CFR Part 200 procurement and recordkeeping requirements.
- Experience in healthcare, education, or other compliance-driven environments.
- Experience with vendor sourcing, obtaining competitive quotes, and maintaining procurement documentation.
- APICS CPIM, CSCP, or equivalent supply chain certification.
