JOB TITLE: Part-Time Assistant Producer / Production Coordinator
STATUS: Part-Time Hourly
SCHEDULE: 15–20 hours per week across 2–3 regularly scheduled days
SALARY RANGE: $23.00 - $27.00 per hour

The Assistant Producer / Production Coordinator works directly with the Creative Director to coordinate events, vendors, schedules, documentation, and production tasks. This position prioritizes organization, communication, and reliable follow-through while providing practical on-site production support when needed.
KEY RESPONSIBILITIES
- Turn event information into clear schedules, timelines, task lists, and next steps.
- Maintain production calendars, event files, contact lists, status trackers, shared documents, and reusable templates.
- Prepare and update run-of-show documents, production schedules, crew calls, load-in plans, and event checklists.
- Track decisions, deadlines, approvals, assigned responsibilities, outstanding questions, and changes in event scope.
- Attend planning meetings, document action items, and follow up with staff, vendors, performers, presenters, and other partners.
- Gather vendor estimates, availability, insurance documentation, and technical information as assigned, and assist with comparing quotes.
- Coordinate approved vendor arrival, site access, delivery, setup, strike, pickup, and related logistical details.
- Track purchase requests, invoices, receipts, rentals, deposits, and payment status, and promptly communicate outstanding items.
- Support vendor and crew check-in, load-in, room changes, rehearsals, event operations, and strike at Temple Israel and other event locations.
- Serve as an occasional runner, stagehand, backstage assistant, or on-site production contact when needed.
- Help keep events on schedule, communicate changes clearly, and respond calmly and professionally to production needs.
- Coordinate approved plans and resolve routine logistical matters independently, while seeking Creative Director approval for contracts, vendor selection, major purchases, budget changes, and significant changes in scope.
WHAT WE ARE LOOKING FOR
- Experience in event production, theater, live entertainment, venue operations, film or video production, hospitality, or project coordination is preferred.
- Strong organization, attention to detail, and reliable follow-through.
- Clear, professional communication and confidence working with vendors, artists, technicians, presenters, staff, and leadership.
- Ability to manage multiple priorities, meet deadlines, and adapt calmly when plans change.
- Comfort using shared calendars, spreadsheets, cloud-based documents, and task-management tools.
- General familiarity with live-event, backstage, or production workflows.
- Ability to work collaboratively with the Creative Director, staff Video Technician, internal staff, production personnel, vendors, artists, presenters, and venue partners.
- Ability to work at multiple locations in the West Bloomfield area and assist with physical event setup when requested.
- Availability for occasional evening or weekend events and meetings.

REPORTING RELATIONSHIP
This position reports directly to the Creative Director and works closely with the staff Video Technician. The role coordinates with internal staff, production personnel, vendors, artists, presenters, and venue partners.
