Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities with professionalism
- Operate a single-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Manage calendar schedules, appointments, and meeting arrangements for staff and executives
- Utilize Office productivity tools such as Jobber, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation and collaboration
- Perform clerical tasks such as photocopying, scanning, mailing, and inventory management
- Support bookkeeping activities using QuickBooks or similar accounting software when needed
- Assist with office management duties including supply ordering, maintenance coordination, and general administrative support
- Provide exceptional customer service by addressing inquiries promptly and professionally in person or via phone or email
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent computer literacy including proficiency in Jobber, Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Good typing skills with attention to detail for proofreading and data entry tasks
- Familiarity with multi-line phone systems and phone etiquette to handle calls effectively
- Bilingual (Spanish) abilities are a plus to serve diverse clients and staff effectively
- Experience with front desk operations, medical or dental receptionist duties is advantageous
- Knowledge of office management procedures along with time management skills to prioritize tasks efficiently
- Personal assistant experience or calendar management expertise is highly desirable
- Ability to handle confidential information discreetly while maintaining professionalism at all times
