Accounts Payable Specialist

Reports To: Accounting / Location: Hawthorne, CA
FLSA Status: Exempt
The AP Specialist ensures all company bills and vendor obligations are paid accurately and on time. You will work within the finance team to maintain tight internal controls, optimize cash flow, and build strong vendor relationships.
Key Responsibilities
- Invoice Processing: Receive, review, and enter a high volume of vendor invoices, ensuring correct general ledger (GL) coding and proper management approvals.
- Three-Way Matching: Perform three-way matching by comparing invoices against purchase orders (POs) and receiving/shipping documents.
- Dispute Resolution: Communicate proactively with vendors, internal departments, and procurement to track down missing approvals and fix pricing or quantity discrepancies.
- Payment Execution: Process weekly payment runs via ACH, wire transfers, or checks, adhering to agreed payment terms.
- Account Reconciliations: Reconcile monthly vendor statements, clear outstanding balances, and research transaction variances.
- Expense Management: Audit and process employee expense reports and corporate credit card statements.
- Month-End Close: Prepare AP accruals, prepaid amortizations, and required journal entries.
- Compliance & Reporting: Maintain the vendor master database, gather W-9 information, prepare annual 1099 filings, and support external audits.
Qualifications & Skills
- Experience: 2 to 4 years of hands-on, full-cycle accounts payable experience.
- Technical Skills: Advanced proficiency in Microsoft Excel (VLOOKUPs, pivot tables) and experience with major ERP/accounting systems (e.g., MS Dynamics, QuickBooks, NetSuite, SAP).
- Automation Familiarity: Experience using modern AP automation tools (such as Bill or Tipalti) is a strong plus.
- Soft Skills: High attention to detail, strong written and verbal communication, and solid problem-solving abilities.
Working Conditions

- Occasional interaction with production employees on the shop floor.
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
