POSITION: Bookkeeper II - Prothonotary’s Office

PAY GRADE: NON-EXEMPT HOURLY THREE
$12.76/hr. (increase to $16.03/hr. on 01/01/27)
OVERALL OBJECTIVE OF JOB
Performs specialized departmental clerical duties and responsibilities within the assigned department.
ESSENTIAL FUNCTIONS OF JOB
1. Processes daily and end-of-month reports through computer data entry for civil and criminal departments.
2. Prepares detailed financial statements and reports.
3. Balances accounts, checkbooks or other financial data.
4. Maintains accurate files and recordkeeping.
5. Makes bank deposits, reconciles cash, prepares checks and handles other banking needs for department.
6. Assists in preparation of yearend reports.
7. Performs data entry and operates computer and other office machines.
8. Assists in developing new or revised bookkeeping procedures to improve internal/financial controls and recordkeeping.
9. Helps prepare for jury selection and assists in court with selection.
10. Processes files for cases with no action for two years.
11. Greets and assists general public by taking or providing information, receiving payments or directing them to proper locations.
12. Copies and files civil documents within the department.
13. Researches and processes returned and uncashed checks.
OTHER DUTIES OF JOB
1. Attends meetings and/or training sessions as required.
2. Assists other clerical personnel with duties as necessary.
3. Performs other job-related duties as required.
SUPERVISION RECEIVED
Receives little instruction and supervision from supervisor in regard to daily work duties.

None.
WORKING CONDITIONS
1. Works indoors in adequate work space with adequate temperatures, ventilation and, lighting.
2. Works with average indoor exposure to noise, stress and disruptions.
3. Normal indoor exposure to dust/dirt.
PHYSICAL/MENTAL CONDITIONS
1. Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking, bending, twisting and reaching as necessary to carry out essential job duties.
2. Dexterity requirements range from simple to coordinated movements of fingers/hands; feet/legs/torso as necessary to carry out job duties.
3. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds.
4. Must be able to cope with the physical and mental stress of the position.
5. Must be able to pay close attention to details and concentrate on work.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
1. Must be able to speak and understand the English language and to follow oral and written instructions.
2. Must possess initiative and problem-solving skills.
3. Must possess ability to function independently, have flexibility and personal integrity and the ability to work effectively with clients, co-workers and others.
4. Must possess ability to maintain confidentiality in regard to client information and records.
5. Must possess the technical knowledge of operating personal computers and other office equipment.
6. Must possess knowledge of general office practices and procedures, including clerical skills in typing, recordkeeping, filing, etc.
7. Must possess knowledge of general bookkeeping and accounting principles and practices.
8. Must possess ability to complete department requirements and financial documents accurately and within a reasonable time period.
9. Must possess excellent organization skills.
10. Must possess ability to develop bookkeeping procedures to improve financial control.
11. Must possess ability to apply established method to financial transactions.
QUALIFICATIONS
A. High School diploma or equivalency, plus some training in bookkeeping and computers.
B. Two years’ work experience required in accounting or bookkeeping.
· Must not appear on Preclusion Lists as defined by “Pennsylvania’s Medical Assistance Bulletin 99-11-05 Provider Screening of Employees and Contractors for Exclusion from Participating in Federal Healthcare Programs.”
· Must successfully complete pre-employment drug screening.
