Purpose Statement
The CTE Office Manager/Accountant is hired for the purpose/s of supervising financial services and activities including accounts payable, cash disbursements, purchase orders and receiving reports; overseeing assigned personnel; providing information to others regarding accounts payable status and other financial activities; and scheduling work assignments within established time frames and standard practices.
This Job reports to the Director of CTE-Timpanogos School District.
The start date will be July 1, 2027.

Meetings: Attend assigned meetings to share and gather needed information.

Data & records: Compile and maintain financial, budget, payroll, and personnel data/records for accuracy and compliance.

Finance oversight: Manage finance-related accounts and programs (purchase cards, petty cash, budgets, journal entries) to ensure they stay within guidelines. Assists auditors for the purpose of providing supporting documentation and/or information on internal processes required for audit.

Documentation: Prepare reports, correspondence, and other materials to document activities and ensure compliance.

Processing: Process financial/payroll documents (timecards, invoices, requisitions, reimbursements) per district guidelines. Processes payments to vendors for the purpose of ensuring the accurate account balance and efficient operations in accordance with District policies and procedures as well as URS and IRS rules and regulations.

Reconciliation: Reconciles a variety of financial data (e.g. vendor statements, bank account reconciliations, accounts payable transactions, etc.) for the purpose of maintaining accurate account balances and ensuring compliance with established accounting practices. Researches discrepancies of financial information and/or documentation (e.g. purchase orders, invoices, payments, etc.) for the purpose of ensuring the accuracy of accounts payable vouchers and complying with established regulatory requirements, securing general information for planning, taking appropriate actions and/or responding to requests and adhering to established procedures prior to processing.

Communication: Respond to inquiries from staff, auditors, agencies, and the public, providing information or referrals. Informs personnel regarding a variety of accounting procedures for the purpose of providing necessary information for making decisions, taking appropriate action and/or complying with established fiscal guidelines, and processing accounts payable transactions.

Budget/payroll oversight: Oversee department budget and payroll operations end-to-end (planning sheets, invoicing, payroll, journal entries, AP/AR, purchase cards) to ensure timely, accurate completion.

Training: Conduct annual training (e.g. CTSO training, safety training) for the purpose of ensuring staff/student compliance with program and safety requirements.

Skyward maintenance: Ensure Skyward course offerings are kept current for the purpose of maintaining accurate scheduling and reporting.

State compliance: Coordinate with the state on CTE-related duties and requirements for the purpose of ensuring compliance with state guidelines and reporting deadlines.
Other Functions:

Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the CTE work unit.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment using pertinent software applications; performing accounting procedures; planning and managing projects; and preparing and maintaining accurate records.
KNOWLEDGE is required to perform algebra and/or geometry; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: principles of accounting and auditing; general governmental accounting practices; standard office practices and procedures; and pertinent codes, policies, regulations and/or laws.
ABILITY is required to schedule activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using standardized methods. Responsibility
Responsibilities include: working under limited supervision using standardized practices and/or methods; directing other persons within a department, large work unit, and/or across several small work units; monitoring budget expenditures. Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, 10% standing. This job is performed in a generally clean and healthy environment.
Experience: Job-related experience within a specialized field is required.
Education: Targeted, job-related education with study in a job-related area.
