Job Summary
The Cargo Office Agent supports the daily administrative and customer service functions of the cargo operation by assisting with cargo acceptance, documentation, manifesting, tracking, billing support, and communication with customers, airline partners, warehouse personnel, and internal operations teams. This position plays an important role in ensuring cargo is processed accurately, efficiently, and in compliance with company procedures, airline requirements, security protocols, and applicable regulatory standards. The Cargo Office Agent must be detail-oriented, service-focused, and able to work in a fast-paced airport cargo environment where accuracy, teamwork, and timely communication are essential to supporting smooth cargo movement and minimizing operational delays or documentation errors.
Key responsibilities
In this role, you will be expected to perform with or without accommodation:
Cargo & Mail Dispatch
- Dispatch cargo and mail to the correct flights, ensuring shipments are routed and documented accurately.
Cargo Acceptance & Verification
- Accept cargo, verify documentation, and visually inspect freight for proper packaging, labeling, and any signs of damage, leaks, or tampering.
- Weigh and measure cargo in compliance with airline limits and ensure information is accurately recorded on the Air Waybill (AWB).
- Review the AWB, commercial invoice, packing list, and house air waybills for accuracy, completeness, and consistency with the physical cargo.
Dangerous Goods & Special Cargo
- Handle Dangerous Goods acceptance by verifying classification, packaging, labeling, and documentation in strict accordance with IATA Dangerous Goods Regulations (DGR) (specialized training/certification required).
- Accept and process special cargo using required procedures (e.g., perishables/temperature control, Human Remains, Lifeguard, and high-value shipments).
Security Screening & Compliance
- Perform or support security screening using approved methods (e.g., physical screening, ETD, X-ray) in accordance with TSA requirements.
Documentation & Flight Paperwork
- Load and manifest accepted freight; prepare flight document pouches with corresponding AWBs.
- Prepare terminating inbound documentation for customer customs clearance with Customs.
- Adhere to airline policies, company SOPs, and national/international regulations (IATA, TSA, FAA, Customs); maintain a safe working environment and report safety concerns or incidents.
Customer & Team Collaboration
- Answer customer inquiries promptly and effectively through face-to-face or phone interaction, providing professional, solutions-oriented service.
- Coordinate closely with cargo operations personnel (warehouse/ramp) regarding cargo shipments and mail movements to support on-time performance.
Qualifications
Education
- A high school diploma, GED, or an equivalent combination of training and experience that demonstrates the ability to perform the essential functions of the position preferred.
- Additional coursework or training in aviation, logistics, or cargo operations is highly preferred but not required.
Experience
- Required: Two (2) years’ experience working in a related field.
Skills & competencies
- Strong attention to detail and accuracy in cargo documentation, data entry, and manifesting/reporting.
- Working knowledge of cargo security and regulatory requirements (TSA, FAA, IATA, Customs/CBP) highly preferred; ability to consistently follow SOPs required.
- Must have the ability to complete training/certification for IATA dangerous goods acceptance, including retention of IATA Dangerous Goods Regulations (DGR) as required for the assignment.
- Proficient with cargo/manifesting systems and standard office software (email, spreadsheets) with fast, accurate typing.
- Clear, professional verbal and written communication with customers, airline representatives, and internal teams.
- Customer-service mindset; able to resolve routine issues and escalate discrepancies, irregularities, or security concerns promptly.
- Team-oriented and able to coordinate across functions to meet time-sensitive cutoffs and service expectations.
- Dependable and punctual; able to work rotating shifts, weekends, and holidays as operationally required.
- Safety-focused; follows safe lifting practices and can lift up to 70 pounds with or without reasonable accommodation.
