Overview
Our busy outpatient pulmonary practice is seeking an experienced Lead Medical Assistant to anchor our clinical and front office operations as well as support our healthcare providers by performing clinical and administrative tasks that ensure seamless patient experiences. This vital role requires someone who can work independently and has a strong understanding of insurance, prior authorizations, and billing coordination workflows that keep patient care moving. You'll also assist with keeping clinic days running smoothly by rooming patients, supporting in-office testing, and helping at the front desk as needed.
Key Responsibilities
- Own the prior authorization process end to end, including specialty drug authorizations and renewals submission, payer and pharmacy follow-up, and resolving requests for additional information
- Ensure insurance verifications and eligibility checks are completed ahead of each clinic day, including phone-based verifications with payers
- Coordinate billing with the off-site biller: review services rendered, supply correct billing codes, and move charts toward closure
- Manage prescription refill requests in coordination with the physician
- Place and track orders for durable medical equipment (oxygen and CPAP), and imaging (CXR, CT)
- Manage referrals to outside specialists, including identifying providers who accept the patient's insurance
- Oversee chart preparation and documentation flow; coordinate document scanning, uploading, and records organization
- Support patient triage and respond to time sensitive clinical needs under provider direction
- Assist with patient intake by collecting medical histories and updating electronic health records (EHR systems)
- Serve as the front office lead, supporting and helping coordinate check-in/check-out, copays, phones, and patient intake
- Serve as the clinical lead, supporting and helping with rooming patients, taking vitals, and preparing patients for the provider
- Assist with in-office testing and clinical workflow (e.g., supporting PFTs and 6-minute walk tests)
- Perform blood draws and basic specimen handling
- Help drive the practice's transition to a paperless workflow
- Assit with the training and education of staff
Required Qualifications
- Medical Assistant certification (CMA, RMA, or equivalent) or equivalent recent experience
- 3+ years medical office experience
- Direct, hands-on prior authorization and insurance verification experience
- Demonstrated experience coordinating with billers and understanding of basic medical billing and coding workflow
- Working knowledge of payer portals, eligibility systems, and the specialty drug authorization process
- Proficiency with EHR and practice management systems (experience with Practice Fusion, Updox, and CoverMyMeds strongly preferred)
- Proven ability to manage a high-volume, time sensitive workload independently and prioritize effectively
- Strong leadership, communication, and organizational skills
- High level of accuracy and discretion with protected health information
- Comfortable with vitals, blood draws, and rooming patients
- Manage medical documentation with precision, including CPT and ICD coding for diagnoses and procedures to ensure accurate billing and recordkeeping
- Provide exceptional patient service by answering questions, explaining treatment plans, and offering compassionate support during visits
- Ability to perform basic life support (BLS certification) to respond effectively in emergency situations
- Dependable, adaptable, and able to step in with minimal onboarding
