As the Business Office Manager, you will play a vital role in the daily operations of our community by overseeing business office functions, supporting the Executive Director, and ensuring financial and administrative processes run smoothly.
Responsibilities include:

Assist with the administration, selection, hiring, onboarding, discipline, and separation of team members in accordance with company policies.

Coordinate orientation and training for new and existing associates.

Maintain employee timecards, payroll records, and other employment documentation while working closely with Human Resources.

Perform management responsibilities in the absence of the Executive Director.

Oversee the day-to-day operations of the business office, including:

Resident billing
-
Accounts receivable and accounts payable
-
Bank deposits
-
Financial recordkeeping
-
Community tours and administrative support
-
Post ledgers and reconcile resident accounts accurately.

Assist with developing and maintaining the community's operating and capital budgets.

Help ensure financial goals are achieved while maintaining compliance with company policies.

Build positive relationships with residents, families, and community organizations while responding to their needs with professionalism and compassion.

Serve as the primary office receptionist and telephone contact as needed.

Perform other duties as assigned.
This position reports directly to the Executive Director and is expected to work independently while exercising sound judgment and professionalism.
The Business Office Manager also supervises the Concierge team, including:

Coaching and development

Performance evaluations
-
Scheduling
-
Corrective action when appropriate

Hiring recommendations
The ideal candidate will have:
-
Bachelor's degree in Hospitality, Business Administration, Healthcare Administration, or a related field required (Master's degree preferred).

Minimum of three (3) years of management experience in business office administration, accounting, bookkeeping, or office management.

Previous senior living, healthcare, or hospitality experience preferred.

Strong organizational, communication, and customer service skills.

Experience with payroll, billing, accounts receivable/payable, and financial reporting.

Ability to prioritize multiple responsibilities in a fast-paced environment.

Proficiency with Microsoft Office and business management software.
Candidates must be able to regularly:
