Warranty & Dispatch Coordinator
Joyce Cooling & Heating is looking for a highly organized, detail-oriented, and customer-focused Warranty & Dispatch Coordinator to join our growing team!
About the Role
The Warranty & Dispatch Coordinator plays a key role in supporting our customers, technicians, and internal teams by managing warranty processes, coordinating service schedules, and ensuring communication stays organized from start to finish.
This position is ideal for someone who enjoys problem-solving, takes pride in delivering excellent customer service, and can successfully manage multiple priorities in a fast-paced environment.
The successful candidate will take ownership of assigned responsibilities while working collaboratively with other departments to provide timely, professional, and efficient service.
Responsibilities
Dispatch & Customer Coordination
- Manage a high volume of inbound customer calls and requests
- Make outbound calls as needed to follow up with customers and coordinate service needs
- Evaluate customer concerns and determine appropriate scheduling priorities
- Schedule and coordinate service appointments based on customer needs and technician availability
- Communicate job details, updates, and schedule changes with technicians and internal teams
- Monitor open calls and assist with follow-up to ensure timely completion
- Maintain a positive customer experience from start to finish
Warranty Coordination
- Work with technicians to gather required warranty information
- Submit warranty claims and track approvals through manufacturer and vendor portals
- Communicate with vendors regarding warranty requirements, parts, approvals, and credits
- Maintain accurate warranty documentation and records
- Ensure warranty-related tasks are completed accurately and within required timelines
Administrative & Team Support
- Maintain accurate customer records and documentation within company systems
- Respond professionally to customer calls, emails, and messages
- Assist with scheduling estimates as needed
- Assist with researching, cross checking, and confirming information regarding supply invoices
- Provide timely communication and support to internal teams
- Follow established processes while identifying opportunities for improvement
- Assist with additional responsibilities to support overall operations
Qualifications
- Strong customer service skills with excellent verbal and written communication abilities
- Highly organized with strong attention to detail
- Ability to prioritize multiple tasks in a fast-paced environment
- Strong problem-solving skills and ability to think critically
- Excellent follow-through and accountability
- Comfortable learning new software and technology
- Experience with dispatch, scheduling, customer service, or coordination a plus
- Experience in HVAC, plumbing, electrical, or another service industry a plus

Pay: $18.00 - $23.00 per hour
