We are seeking a highly organized, customer-focused Human Resources Administrative Assistant to support our growing Human Resources team. Please note: This is a full-time, temporary position with a tentative assignment end date of December 2026. Employment is expected to continue through this timeframe; however, the end date may be adjusted based on business needs.
Position Summary
The Human Resources Administrative Assistant provides administrative and operational support to the Human Resources department, helping ensure the efficient delivery of HR services and an exceptional experience for employees and applicants. This role assists with recruitment, onboarding, records management, and general HR administrative functions while maintaining accurate documentation and strict confidentiality. The HR Administrative Assistant also supports daily departmental operations by coordinating materials, managing office resources, responding to inquiries, and contributing to a positive, organized work environment.
Essential Responsibilities
- Support the daily operations of the Human Resources department through administrative and clerical assistance.
- Maintain accurate employee and applicant records while ensuring compliance with confidentiality and privacy requirements.
- Answer incoming telephone calls promptly and professionally, directing calls to the appropriate team members.
- Assist with recruitment activities, including reviewing applications, scheduling interviews, conducting reference checks, and maintaining applicant tracking records.
- Coordinate the new hire onboarding process, including collecting employment documentation, monitoring completion of onboarding requirements, and scheduling orientation.
- Prepare, copy, distribute, and maintain HR forms, training materials, and departmental documentation.
- Monitor inventory of office supplies, training materials, and HR forms, ensuring adequate stock levels.
- Provide professional and responsive customer service to employees, applicants, and visitors.
- Perform other related duties as assigned.
Qualifications - Required
- High school diploma or equivalent.
- 1–2 years of administrative experience in an office environment.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
Preferred
- Associate degree in Human Resources, Business Administration, or a related field.
- Previous experience in Human Resources and/or a healthcare environment.
