PhysioStrength Physical Therapy is a young, growing, sports-centered outpatient physical therapy clinic located in Tacoma, WA. We specialize in helping athletes, active adults, and orthopedic patients recover from injury, improve performance, and return to the activities they love.
We are looking for a Front Office Assistant / Receptionist to become an important part of our energetic and cohesive team. As the first and last point of contact for our patients, this position plays a key role in creating a welcoming, professional, and positive experience throughout the patient's time in our clinic.
The ideal candidate is friendly, organized, dependable, energetic, and comfortable working in a fast-paced environment. We are looking for someone who enjoys interacting with people and is excited to work in a sports-focused physical therapy and rehabilitation setting.
This position is approximately 20-40 hours per week, with hours and schedule having some flexibility depending on clinic needs and candidate availability.

Responsibilities:
- Greet patients and provide a friendly, professional, and welcoming experience
- Check patients in and out for appointments
- Answer incoming phone calls, transfer calls, and take messages as necessary
- Schedule, reschedule, and confirm patient appointments
- Communicate with patients regarding appointments, paperwork, scheduling, and general questions
- Coordinate daily workflow with physical therapists, physical therapist assistants, rehabilitation aides, and other front office staff
- Maintain accurate patient demographics, contact information, and insurance information
- Verify insurance benefits and obtain necessary authorizations when required
- Scan, fax, upload, and organize appropriate medical and insurance documents
- Collect patient payments including copays, coinsurance, deductibles, and other applicable fees
- Maintain accurate records of patient payments and communicate with billing staff regarding outstanding balances
- Assist with basic clerical and administrative duties
- Communicate closely with billing and clinical staff to resolve patient questions or concerns
- Help maintain patient confidentiality and follow clinic policies and procedures
- Promote cleanliness, organization, and a professional appearance throughout the front office and clinic
- Assist with maintaining an efficient patient flow throughout the clinic
- Work closely with the clinical team to support the overall patient experience
- Perform other administrative and clinic support duties as assigned

Preferred Qualifications:
- Previous medical office, front desk, receptionist, or customer service experience
- Previous experience in a physical therapy, chiropractic, sports medicine, fitness, or healthcare setting
- Experience with medical scheduling or electronic medical record systems
- Experience with insurance verification and/or medical billing
- Familiarity with copays, coinsurance, deductibles, and insurance authorizations
- Interest or experience in athletics, exercise, sports, or rehabilitation
