Reports To: Executive Director and Associate Director
Position Summary
The Administrative Assistant provides essential organizational support to advance the mission of The Vincent House. This role ensures the smooth coordination of building usage, supports compliance and administrative systems, and assists with donor engagement and communications. The Administrative
Assistant works closely with staff, volunteers, community partners, and supporters to help create a welcoming, organized, and mission-focused environment.
Primary Responsibilities
Building Calendar & Event Coordination
● Manage and maintain the organization's master building calendar.
● Coordinate facility reservations for community groups, church partners, programs, and special events.
● Schedule staff and volunteers to support events and building usage.
● Serve as a primary point of contact for building-related scheduling and logistics.
● Ensure spaces are prepared and communicated effectively for upcoming events and activities.
Licensure Compliance & Administrative Support
● Partner with the Associate Director to maintain organizational compliance requirements. ● Track and organize documentation related to licensing, inspections, certifications, and regulatory requirements.
● Assist with monthly, quarterly, and annual reporting deadlines.
● Maintain accurate records, databases, and filing systems to support organizational operations and compliance efforts.
Fund Development Support
● Assist with donor stewardship and relationship management.
● Coordinate thank-you cards, donor acknowledgments, and sponsorship follow-up.
● Support monthly and annual donor communications, mailings, and fundraising campaigns.
● Maintain donor records and administrative systems related to development activities.
● Assist with event registrations, sponsorship tracking, and other fundraising administrative tasks.
Qualifications
● Strong organizational and administrative skills with attention to detail.
● Excellent written and verbal communication abilities.
● Proficiency with calendars, databases, spreadsheets, and office software.
● Ability to manage multiple priorities and deadlines with minimal supervision. ● Demonstrated reliability, professionalism, and discretion.

Work Schedule
This is a part-time position averaging 15–20 hours per week. Some evening or occasional weekend availability may be required to support special events, building rentals, or organizational activities.
Pay: $15.00 - $20.00 per hour
