Tom Thomas Legal, P.C. is hiring a dependable, professional Receptionist / Client Intake Coordinator to be the first point of contact for clients and potential new clients.
This position is ideal for someone who is friendly, organized, detail-oriented, and comfortable speaking with people by phone throughout the day. The receptionist plays a critical role in making sure calls are answered, messages are handled correctly, potential new clients are captured, and follow-up does not fall through the cracks.
Responsibilities:
- Answer incoming phone calls in a professional and friendly manner
- Greet callers and determine whether they are existing clients, potential new clients, courts, vendors, or other contacts
- Collect accurate information from potential new clients
- Schedule consultations and appointments
- Route calls and messages to the correct team member
- Monitor voicemail, email, web inquiries, and missed calls
- Enter and update information in firm software/CRM systems
- Follow up with potential new clients who did not answer or need additional contact
- Maintain organized notes and call records
- Help ensure every potential new client receives timely follow-up
- Handle sensitive and confidential information appropriately
- Provide general administrative support as needed
Qualifications:
- Prior receptionist, customer service, call center, intake, or administrative experience preferred
- Strong phone communication skills
- Professional, friendly, and calm demeanor
- Reliable attendance and punctuality
- Strong attention to detail
- Comfortable using computers, email, calendars, and web-based software
- Ability to multitask while maintaining accuracy
- Good written communication skills
- Ability to handle upset or emotional callers professionally
- Law firm experience is helpful but not required
- Bilingual English/Spanish is a plus
