Brattleboro Portable Storage is looking for a highly reliable, exceptionally organized Customer Service & Dispatch Coordinator. This person will guide customers from their first inquiry through a successful container delivery while keeping drivers, schedules, payments, and account details organized behind the scenes.
This is an important position in a busy, established local company. It requires excellent judgment, precise follow-through, and the ability to remain friendly and composed when schedules change or several things need attention at once.

What you’ll do:
Customer service and sales
- Respond promptly and professionally to incoming calls, emails, and online inquiries.
- Provide accurate pricing, availability, delivery information, and rental or sales terms.
- Ask the right questions to understand each customer’s needs and recommend the appropriate container or service.
- Convert qualified inbound inquiries into rentals, sales, and scheduled deliveries.
- Set clear expectations and create a consistently excellent customer experience.
- Follow up with satisfied customers and help generate new Google reviews.
Scheduling and dispatch
- Schedule container deliveries, pickups, relocations, and other transport services.
- Coordinate closely with drivers and customers to ensure every job is accurately planned.
- Confirm addresses, site conditions, container placement, access requirements, contact information, and special instructions before dispatch.
- Adjust schedules when weather, equipment availability, site readiness, or customer needs change.
- Communicate changes clearly and proactively to everyone affected.
- Recognize potential delivery problems before they become expensive mistakes.
Account administration
- Create complete and accurate customer records.
- Prepare initial invoices, process payments, and apply additional charges when appropriate.
- Confirm that rental agreements, insurance requirements, payment information, and supporting documents are completed by established deadlines.
- Coordinate with accounts receivable regarding past-due accounts or account discrepancies.
- Maintain organized digital and paper records.
- Prepare routine weekly and monthly reports.
- Assist the General Manager with administrative projects and shared office responsibilities.

Required qualifications:
- Professional customer service experience in an office, service, logistics, construction, rental, or similar environment.
- Strong phone, email, organizational, and data entry skills.
- Demonstrated ability to manage detailed work accurately.
- Comfort using multiple computer programs throughout the day.
- Working knowledge of Microsoft Word, Excel, Outlook, Google Sheets, and online mapping tools.
- Ability to learn QuickBooks Online and industry-specific rental and dispatch software.
- Ability to work reliably from our Brattleboro office during scheduled hours.
Preferred qualifications:
- Dispatching, scheduling, logistics, equipment rental, construction, or transportation experience.
- Experience converting inbound inquiries into booked work.
- Experience preparing invoices, processing payments, or using QuickBooks Online.
- Familiarity with Vermont, New Hampshire, and Western Massachusetts.
