- Manage communication with clients, vendors, and internal teams via phone, email, and multi-line phone systems to ensure seamless information flow.
- Support data entry tasks, maintain accurate records, and update project management tools regularly.
- Organize files, contracts, and project documentation ensuring easy access and compliance with company standards.
- Monitor project progress, identify potential delays or issues, and escalate concerns promptly for resolution.
- Provide exceptional customer service by addressing inquiries professionally at the front desk or via phone communication.
Qualifications
- Proven experience in office management or administrative support roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace applications.
- Experience with data entry, filing systems, and maintaining spreadsheets for tracking project details.
- Excellent written and verbal communication skills; bilingual ability is a plus.
- Strong computer literacy including technical proficiency with productivity software and office equipment such as multi-line phone systems.
- Demonstrated ability to prioritize tasks effectively using time management techniques.
- Previous experience supporting project teams or in a personal assistant capacity is preferred.
