Fox Therapy Services is looking for a talented and passionate Administrative Assistant to join our close-knit team in Westlake Village, CA. Our multidisciplinary clinic provides ABA, Speech, Occupational, Myofunctional, and Feeding therapy and thrives on teamwork, collaboration, and positivity. Primary Responsibilities Include:
Client Relationship Management: Serve as the first point of contact for clients, fostering positive relationships through clear and compassionate communication. Address client inquiries and concerns promptly to ensure satisfaction and retention.
Schedule Management: Coordinate and manage patient and provider schedules to optimize efficiency. Reschedule appointments as needed while maintaining high levels of customer service.
Insurance Verifications and Authorizations: Assist with verifying insurance benefits, obtaining necessary authorizations, and ensuring compliance with payer requirements. Maintain accurate and up-to-date records for all client insurance information.
Administrative Support: Perform general office duties such as answering phones, managing emails, maintaining patient records, and processing paperwork in compliance with HIPAA guidelines..
Team Collaboration: Work closely with therapists, management, and other team members to ensure seamless communication and support for both clients and staff.
What We’re Looking For:
- A motivated and organized professional with at least 2+ years of administrative experience in a healthcare setting (ABA and/or speech experience is a plus!).
- Proficiency with Microsoft Office and other administrative tools (bonus points for familiarity with EMR systems).
- Strong communication and interpersonal skills to foster positive interactions with clients, families, and staff.
- A team player who thrives in a fast-paced environment and enjoys contributing to a positive workplace culture.
- An individual with excellent attention to detail and problem-solving skills.
- A passion for providing outstanding customer service and helping children and families feel supported.
