General Statement of Duties: Responsible for management of inbound telephone calls, including providing general information or routing calls to the appropriate department.
Supervision: Reports to Patient Services Supervisor and Clinic Administrator
Working Conditions: Work is performed in a clinic environment. Work involves frequent contact with patients and other clinical staff. Work may involve dealing with distressed patients. All of the following are essential job functions.
· Must be able to sit for prolonged periods of time.
· Must have adequate manual dexterity to write legibly and operate basic office equipment, such as computer and telephone.
· Must have adequate hearing and speaking ability to communicate with patients, co-workers, and medical community partners.
· Must have adequate visual acuity to read and interpret written material.
· Must be able to maintain composure under the stress of emergency situations, frequent interruptions, and heavy workload demands.
Job Duties:
· Answers inbound telephone calls and processes appropriately:
o Provides general clinic information.
o Transfers call to the appropriate staff member.
o Initiates a message either on paper or in the Electronic Health Record and routes to the appropriate physician/provider or clinical staff member.
· Completes appointment confirmation calls for all scheduled appointments 24 hours in advance of the appointment.
· Communicates professionally with patients, medical providers, co-workers and medical community partners.
· Manages time appropriately, including cooperating with co-workers to ensure coverage for required breaks and lunches.
· Attends required meetings and participates in committees as requested.
· Participates in professional development courses and maintains professional certifications (if applicable).
· Complies with all clinic policies and procedures, including HIPAA and OSHA policies.
· Assists other office personnel in the performance of their duties as assigned and as workload permits.
· Performs other duties as required/assigned.
Performance Requirements:
