512 Functional Medicine is a premier, physician-led clinic dedicated to longevity, vitality, and metabolic health. Founded by Dr. Chip Jackson, we move beyond "social media trends" to provide scientifically regulated, deep-dive medical care. Our clinic offers comprehensive programs that include hormone replacement therapy, peptides, IV nutritional therapy, and advanced diagnostics, treating each patient as if they were our only focus.
We are not a "transactional" clinic. We are a relationship-based practice where every patient is treated with extreme personalization. We are looking for a Front Office Administrator who is passionate about health, tech-savvy, and able to be the "face and voice" of our mission.
Position Overview
The Front Office Administrator is more than a receptionist; you are the clinical "closer" and the operational heartbeat of the practice. You will handle everything from high-level financial presentations to the technical entry of patient data. You must be able to articulate the value of our $3,000–$10,000 programs and ongoing memberships, ensuring patients feel supported from their first phone call to their final lab review.
Key Responsibilities
1. Patient Experience & Sales:
- Act as the primary point of contact; answer phones and respond to leads with passion and clarity.
- Present and "sell" the value of functional medicine programs to patients, explaining what is included (labs,diagnostics, visits) versus add-ons (medications, supplements at discounts).
- Manage all payment collections and financial transactions for high-value care packages.
2. Administrative & EMR Management:
- Master the EMR system; handle all patient demographics, scheduling, and data entry.
- Coordinate with the medical team to ensure charts are ready for Dr. Jackson prior to visits.
3. Clinical Support:
- Care Coordination: Provide high-level support for patient care coordination, ensuring patients move through their programs successfully.
- Diagnostic Support: Coordinate and help facilitate patient scans, including body fat analysis and other wellness diagnostics.
Required Qualifications
Technical & Operational Expertise
- Systems Proficiency: High digital literacy with Electronic Medical Records (EMR), and Google Workspace (Docs, Sheets, Forms).
- Operational Development: Experience writing or refining Standard Operating Procedures (SOPs), manuals, and clinical workflows.
- Tech Management: Ability to troubleshoot basic office technology and coordinate with IT vendors to ensure systems remain operational.
Communication & Financial Presentation
- Consultative Sales: Ability to discuss high-value health investments ($3k+) with professionalism, confidence, and enthusiasm.
- Stakeholder Coordination: Exceptional written and verbal communication skills for interacting with patients, providers, and vendors.
- Leadership Reporting: Ability to provide clear, actionable status updates and "clinic vitals" to ownership and leadership.
Professional Mindset & Brand Culture
- The "All-In" Mindset: A proactive self-starter who identifies operational gaps and treats the role as a partnership rather than just a paycheck.
- Brand Alignment: A genuine personal interest in health, fitness, and longevity; our staff must reflect the "vitality" we advocate for our patients. A background in functional or preventative medicine is preferred, but not required.
