Position Summary
The Dental Treatment Coordinator is responsible for presenting treatment plans, discussing financial arrangements, verifying insurance benefits, obtaining treatment acceptance, and ensuring patients receive the care they need. This position plays a critical role in helping patients understand their treatment options while maintaining a positive patient experience and supporting practice production goals.
Responsibilities Patient Care & Communication
- Greet patients professionally and provide exceptional customer service.
- Review treatment plans with patients and explain recommended procedures in a clear and confident manner.
- Answer patient questions regarding treatment, insurance, financing, and scheduling.
- Follow up with patients who have unscheduled treatment.
- Build trust and rapport with patients to increase treatment acceptance.
Financial Coordination
- Present treatment estimates and discuss patient financial responsibility.
- Explain insurance benefits and limitations.
- Collect deposits, co-pays, balances, and payment arrangements.
- Offer and explain available financing options.
- Ensure all financial agreements are signed and documented.
Insurance Verification
- Verify insurance eligibility and benefits prior to appointments.
- Obtain accurate insurance information and enter it into the practice management software.
- Review insurance breakdowns and communicate coverage details to patients.
- Assist in resolving insurance-related questions and claim issues.
Scheduling & Treatment Acceptance
- Schedule treatment efficiently to maximize provider productivity.
- Prioritize same-day treatment opportunities whenever possible.
- Monitor pending treatment reports and conduct follow-up calls.
- Work closely with doctors and clinical staff to coordinate patient care.
- Maintain treatment acceptance goals established by management.
Administrative Duties
- Maintain accurate patient records and documentation.
- Update patient information as needed.
- Generate and review treatment reports.
- Assist with front office responsibilities when necessary.
- Follow HIPAA and office compliance guidelines.
Qualifications
- Previous dental office experience preferred.
- Knowledge of dental terminology and procedures.
- Experience with Open Dental, Dentrix, or similar dental software preferred.
- Strong communication, customer service, and sales skills.
- Understanding of dental insurance benefits and claims.
- Excellent organizational and multitasking abilities.
- Professional appearance and positive attitude.
- Ability to work in a fast-paced environment.
- Bilingual (English/Spanish) is highly preferred and considered a strong asset.
- Ability to communicate effectively with both English- and Spanish-speaking patients.
- Previous experience presenting treatment plans and discussing financial arrangements in both English and Spanish is a plus.
