The La Crescent Area Event Center is seeking an outgoing, organized, self-motivated Wedding and Event Coordinator. This position requires strong verbal and written communication skills, excellent attention to detail, and the ability to provide outstanding customer service in a fast-paced event environment. This position falls under the direct supervision of the Event Manager. This is a part-time hourly position averaging approximately 25 hours per week. The schedule will vary based on the wedding and event calendar and will require evenings, weekends, and occasional holidays.
Position Responsibilities:
1. Schedule and complete venue tours as assigned.
2. Assist with preparing and sending wedding and event contracts.
3. Coordinate wedding ceremonies, cocktail hours, dinners, receptions, room transitions, and end-of-night details.
4. Lead ceremony rehearsals and help ensure the wedding party is organized, prepared, and confident.
5. Arrive on-site the morning of weddings or events to assist with vendor arrivals, final setup, and event preparation.
6. Manage room flips and transitions between ceremony, dinner, and reception spaces.
7. Return the following morning when needed to oversee decoration pickup.
8. Communicate with vendors, clients, kitchen staff, bar staff, and event leads throughout the planning process and on event day.
9. Schedule and lead planning meetings at key milestones, including 6-month, 90-day, 45-day, and 10-day meetings.
10. Maintain detailed client records, event notes, timelines, and updates in TripleSeat.
11. Create and update detailed room layouts and event setup plans.
12. Assist with customized payment plans and monitor payment schedules with clients.
13. Help prepare and communicate event details, timelines, and banquet event orders to the appropriate staff.
14. Assist the Event Manager with special projects and assigned events.
15. Provide clerical and administrative support for the Event Manager when needed.
16. Assist with training staff on proper procedures for event setup, teardown, and equipment handling.
17. Assist event leads with setup, teardown, and event execution as needed.
18. Assist with social media posts and event promotion as assigned.
19. Assist with staff time sheets and event gratuity records as directed.

Required Qualifications:
1. High school diploma or equivalent.
2. Prior experience in events, hospitality, catering, customer service, or related field preferred.
3. Ability to work under pressure and meet deadlines.
4. Strong customer service and interpersonal skills.
5. Strong verbal and written communication skills.
6. Ability to work independently and stay organized.
7. Ability to manage multiple priorities and changing event needs.
8. Comfortable using computer software and event management systems; TripleSeat experience preferred but not required.
9. Ability to lead others during event setup, transitions, and execution.
Supervision Received: This position reports to the Event Manager. Much of the work is self-directed, but the coordinator is expected to follow established policies, procedures, and event standards.
Physical Demands: This position requires the ability to stand and walk for long periods of time, work long event days, lift and move event-related items as needed, and assist with setup and teardown. Pay: $22.00 - $28.00 per hour
