Key Responsibilities Lead Intake & Sales
- Answer inbound calls, emails, and inquiries from potential clients.
- Screen and qualify leads based on service eligibility before escalating them.
- Communicate Lifecycle Transitions’ services in a clear and engaging manner to convert inquiries into scheduled assessments.
- Maintain a high-touch follow-up process to nurture potential clients and increase conversion rates.
- Make daily outbound calls to engage prospects, follow up on inquiries, and move them toward scheduling an assessment.
Scheduling & Coordination
- Schedule and confirm client assessments with the appropriate team members.
- Request and organize client photos to streamline service evaluation.
- Ensure the executive team only engages with well-qualified, high-priority leads.
- Manage scheduling conflicts and last-minute changes to avoid disruptions.
Email & CRM Management (HubSpot)
- Manage all email inquiries, ensuring timely responses and professional communication.
- Keep accurate records of all lead interactions and maintain the lead pipeline in CRM software.
- Track the status of all leads, follow-ups, and conversions to ensure no opportunities are lost.
Transaction & Documentation Management
- Assist in finalizing service agreements, contracts, and payment processes when applicable.
- Ensure that all necessary documentation (e.g., signed contracts, payment confirmations, assessment details) is received before moving forward.
Communicate effectively with the operations team to ensure a smooth transition from lead intake to service execution.
Project Coordination:
Identify and recruit new vendors, including cleaning companies, to expand our network of service providers.
- Manage vendor relationships, including negotiating contracts, establishing service level agreements (SLAs), and ensuring compliance with company standards.
- Coordinate vendor assignments and schedules, ensuring timely and efficient delivery of services to clients.
- Serve as the main point of contact for vendors, addressing any concerns or issues that may arise during project execution.
- Monitor vendor performance and quality of work, implementing corrective actions as needed to maintain high standards.
- Collaborate with internal teams, including sales and operations, to forecast demand and allocate resources accordingly.
- Set a sense of urgency and prioritize tasks effectively, with the ability to shift priorities as needed to meet deadlines.
- Support cross-functional responsibilities as assigned that align with the mission and purpose of the company.
- Continuously evaluate vendor performance and identify opportunities for improvement or optimization.
- Stay updated on industry trends and best practices in vendor management.
Qualifications:
- Bachelor's Degree + 10 years of customer service.
- 0-3 years of experience in vendor management, procurement, or supply chain management.
- Strong negotiation and contract management skills.
- Excellent communication and interpersonal skills, with the ability to build and maintain relationships with vendors and internal stakeholders.
- Detail-oriented with strong organizational and problem-solving abilities.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Proficiency in Microsoft Office suite and experience with vendor management software is a plus.
