Junior League of Spartanburg - Administrative Assistant 2026-2027
POSITION DESCRIPTION
Provide office/project management and administrative support services to the members of the Junior League of Spartanburg.
ESSENTIAL RESPONSIBILITIES/FUNCTIONS:
- Manage the admin email;
- Answer the phone / respond to voicemails, and forward as needed to appropriate League members.
- Check the mail and send/alert the appropriate member(s);
- Make deposits of any checks received at the office;
- Assist with the management of member financial commitments. This could include:
- Help prepare sustainer invoices;
- Track dues/payments made by members;
- Communicate with members when payment deadlines approach or are missed;
- Prepare related reports as requested by the Board of Directors.
- Assist with the management of League bills and finances. This could include:
- Tracking down missing receipts based on which card was used and reporting to 100 Degrees;
- Assist with coding;
- Prepare related reports.
- Assist with light office maintenance, such as:
- Light cleaning/tidying;
- Putting the trash/recycling out;
- Monitor supplies and reordering when low.
- Assist with filing at the office;
- Assist with preparing for meetings and/or trainings at the office, such as;
- Making copies;
- Preparing the backroom for meetings.
- Assist with preparing reports as requested by the Board of Directors.
- Assist with some routine General Membership Meetings (GMMs) prep, such as;
- Printing sign-in sheets;
- Printing name tags.
- Preparing reports as requested by the President or Board of Directors
- Assist with Santa’s Shoppe and/or Junior League Fundraisers
- Assist chair and vice-chair with requests prior and during the event.
- Assist merchant’s chair in a timely manner with merchant requests.
- Assist tickets chair with selling tickets from the League office prior and the week of Santa’s Shoppe.
- Be available to assist with Santa’s Shoppe committee the week before and week of the event.
- Assist with event wrap-up requests
- Assist with research of one-off tasks as assigned, like researching other internet provider options, etc.
- Assist with prep/ordering for upcoming events.
KNOWLEDGE / SKILLS / EXPERTISE REQUIRED:
A minimum of a high school diploma and two years of related office management and administrative experience required. Prefer bachelor’s degree in related areas. Planning, organization, project management, and good interpersonal and communication skills are necessary. Computer-literate and proficient in a variety of software programs, including Google Workspace, Microsoft Suite (Word, Excel, PowerPoint, Outlook, etc.), Canva, accounting software, database management, and email proficient. Knowledge of operations and the administrative side of a non-profit organization required. Background experience/knowledge of the Junior League preferred.
MENTAL DEMANDS REQUIRED:
The candidate must possess excellent verbal, written and communication skills, be highly organized and be able to effectively handle multiple projects at one time, while working with numerous individuals. Must maintain a professional image and work collaboratively with a variety of people and groups. The candidate must be highly confidential regarding JLS members and sensitive information (such as financial). The candidate must be mature, flexible, creative, detail-oriented and hardworking with an ability to complete projects in a fast-paced environment. The individual must be self-motivated, and work independently and in a group environment. The candidate may not be a member of the Junior League.
WORK HOURS/PAY:
Seeking a contract individual for approximately 5-6 hours per week with pay commensurate with education and experience. Flexibility is available and may work partially off-site with the expectation of coming into the JLS office at least weekly to check mail and to prepare reports as needed.
