We're looking for an organized, compassionate, and enthusiastic Front Office & Scheduling Coordinator who wants more than just a job. As the first point of contact for our organization, you will help ensure our programs run smoothly while coordinating one of the most meaningful services we provide—Music Therapy. Your work will help make it possible for individuals with intellectual and developmental disabilities to participate in therapeutic experiences that build communication skills, confidence, emotional expression, social interaction, and overall quality of life.

What You'll Do
As our Front Office & Scheduling Coordinator, you will:
- Coordinate and schedule Music Therapy sessions for members in Tucson and in Mesa
- Schedule tours for prospective members and families
- Answer incoming telephone calls professionally and assist visitors
- Serve as the welcoming face of our organization
- Perform general administrative and office support duties
- Complete filing and organization of Human Resources paperwork
- Assist with VTrack administrative functions and data entry
- Maintain calendars and scheduling systems
- Coordinate communications with staff, families, and providers
- Prepare documents, reports, and correspondence as needed
- Support leadership with administrative projects
- Perform other duties as assigned to support daily operations
We're Looking For Someone Who Is

- Comfortable speaking with families, providers, and community partners
- Able to manage multiple priorities while maintaining accuracy
- Dependable and self-motivated
- Proficient with Microsoft Office and basic computer applications
- Comfortable learning new software systems
- Passionate about making a positive difference in the lives of others
Preferred Qualifications
- Previous administrative or front office experience
- Scheduling or calendar management experience
- Experience working in healthcare, education, nonprofit, or human services is helpful but not required
- Experience with electronic documentation systems or scheduling software is a plus

Details:
Pay: $17.00-$17.50 per hour
Schedule: Monday–Friday | 9:00 AM – 4:00 PM (30-minute lunch)
Approximately: 32-35 hours per week
