Hydraulic Service Coordinator
Position Summary
The Hydraulic Service Coordinator serves as the primary point of contact for customers requiring hydraulic repair services and supports the daily operations of the repair process. This position is responsible for coordinating work orders, communicating with customers, processing shipping and receiving activities, supporting Account Executives, maintaining accurate records, and assisting with inventory and shop operations. The ideal candidate is organized, customer focused, detail-oriented, and capable of working in a fast-paced industrial environment.
Essential Duties and Responsibilities
Customer Service
Greet and assist walk-in customers with hydraulic repair and service needs.
Receive customer parts and create work orders for repair services.
Communicate repair status, estimates, and completion information to customers.
Answer incoming telephone calls, respond to customer inquiries, and route messages
appropriately.
Process customer approvals, payments, and invoices.
Prepare customer quotes and follow up as necessary.
Work Order Administration
Create, update, and maintain work orders.
Process work orders submitted by Account Executives.
Create digital job files and organize all supporting documentation.
Tag customer parts for identification and tracking.
Photograph incoming customer parts for documentation purposes.
Update work orders and purchase orders within the company's Work Order Management
System (WOMS).
Maintain accurate records throughout the repair process.
Shipping and Receiving
Receive deliveries from UPS, FedEx, Amazon, freight carriers, and other vendors.
Verify shipments for accuracy and inventory incoming materials.
Sort and distribute received items to the appropriate locations.
Prepare shipping documentation for outbound UPS, FedEx, and freight shipments.
Package customer equipment and parts for shipment using appropriate boxes and crates.
Coordinate freight pickups and deliveries.
Parts and Inventory Support
Maintain inventory of hydraulic adapters, hose fittings, and related components.
Assemble hydraulic hose assemblies according to customer specifications.
Invoice completed hose assemblies and over-the-counter sales.
Request pricing and availability from vendors to support Account Executives and
customer quotations.
Assist with inventory organization and material control.
Shop and Operational Support
Safely operate forklifts to load and unload customer vehicles and freight deliveries.
Operate jib cranes for loading, unloading, and moving materials within the shop.
Operate pressure washing equipment as required.
Assist with maintaining a clean, safe, and organized customer service counter and work
area.
Clean counters, windows, and promptly address fluid spills or other housekeeping needs.
Coordinate lunch schedules to ensure continuous customer counter coverage.
Support other service and operational functions as assigned.
Qualifications
Education
High school diploma or GED required.
Technical or vocational training in industrial, mechanical, or hydraulic systems is
preferred.
Experience
Minimum of 2 years of customer service, service coordination, or administrative
experience preferred.
Experience in industrial equipment, hydraulic systems, manufacturing, or mechanical
repair environments is preferred.
Experience with shipping and receiving procedures is preferred.
Experience using work order management or ERP software is beneficial.
Knowledge, Skills, and Abilities
Excellent customer service and communication skills.
Strong organizational skills with the ability to manage multiple priorities.
Ability to work independently and as part of a team.
Basic computer proficiency with Microsoft Office and business software systems.
Ability to learn hydraulic components, repair processes, and industry terminology.
Strong attention to detail and accuracy.
Ability to communicate effectively with customers, technicians, vendors, and sales
personnel.
Physical Requirements
Ability to stand and walk for extended periods.
Ability to lift and move materials weighing up to 50 pounds.
Ability to safely operate forklifts and jib cranes after required training.
Frequent bending, reaching, pushing, pulling, and carrying.
Ability to work in both office and industrial shop environments.
Work Environment
This position is performed in both an office/customer service setting and an industrial repair facility. Employees may be exposed to noise, machinery, hydraulic fluids, moving equipment, varying temperatures, and outdoor conditions during shipping and receiving activities. Appropriate personal protective equipment (PPE) is required when working in designated shop areas.
Pay: $22.00 - $24.00 per hour
