Position Overview: The Medical Office Lead plays a crucial role in ensuring smooth operation for an assigned clinic location. It's a multifaceted role that requires strong leadership, organizational, and communication skills, as well as a commitment to excellence in healthcare administration. This role will require the ability to work in a matrix structure, manage a budget and manage clinical staff. As an Office Lead you should demonstrate excellent organizational skills and the ability to perform in stressful situations. The position will require knowledge in all aspects of the clinic such as Front Desk, Medical Assistant (MA), Billing, Handling Patients and Management.
Key Responsibilities:
1. Patient Relations:
· Ensure a positive patient experience by overseeing reception, appointment scheduling, and inquiries.
· Address patient concerns or complaints in a timely and professional manner.
· Implement protocols to maintain patient confidentiality and privacy.
2. Financial Management:
· Oversee billing, coding, and collections processes. (Work closely with Billing Team)
· Monitor accounts receivable and accounts payable to ensure clinical bills are paid on time.
· Make any deposits, checks and check mail daily and scan EOB’s.
· Prepare and manage budgets, track expenses, and identify cost-saving opportunities.
3. Regulatory Compliance:
· Stay abreast of healthcare regulations and ensure compliance with HIPAA, OSHA, and other relevant laws.
· Maintain accurate and up-to-date medical records in accordance with legal requirements.
· Implement policies and procedures to mitigate risks and ensure patient safety.
4. Office Operations:
· Coordinate with medical staff to optimize patient flow and maximize efficiency.
· Oversee inventory and supplies, ensuring front desk and MAs are maintaining adequate stock levels and ordering medical/office supplies using inventory app (Sortly)
· Arrange for cleaning crew schedule and oversee maintenance of equipment and facilities arranging repairs as needed and it is done in a timely manner within budget.
5. Technology Integration:
· Perform Data and reports for Clinic/Providers in office within EMR (Eclinical Works) on a weekly or monthly basis (as required)
· Ensure that staff training on the use of technology tools and software applications are being done effectively.
· Explore opportunities to leverage technology for process improvement and enhanced patient care.
· Proficiency in office software applications and electronic health records (EMR) systems.

Qualifications:
- Bachelor's degree in healthcare administration, business management, or related field (preferred). 3 years of work experience may be substituted for education.
- Previous experience in healthcare administration or medical office management.
- Strong leadership, communication, and interpersonal skills.
- Proficiency in medical billing, coding, and insurance procedures.
- Knowledge of healthcare regulations and compliance requirements.
- Ability to multitask, prioritize tasks, and problem-solve effectively.
