Position Summary
The Customer Service Representative (CSR) is the first and last impression clients have of Well Animal Hospital. This position plays a vital role in creating a welcoming, compassionate, and efficient experience for every client and patient.
The ideal candidate enjoys helping people and animals, communicates professionally, thrives in a fast-paced environment, and works closely with the medical team to provide outstanding client service.
Responsibilities
Responsibilities include, but are not limited to:
- Welcome clients and their pets with a warm, friendly, and professional attitude, helping create a welcoming and low-stress experience from arrival through departure.
- Greet clients at the entrance by opening the door when appropriate, escort clients and pets to exam rooms, and assist clients entering or leaving the hospital with pets, carriers, medications, purchases, or other belongings when appropriate.
- Enhance the client and patient experience by offering complimentary beverages and snacks to clients, offering treats and pup cups to pets when appropriate, and utilizing Fear Free and low-stress handling techniques whenever appropriate.
- Check clients in and out efficiently.
- Schedule appointments and future visits.
- Answer multi-line phone calls, emails, text messages, and online inquiries promptly and professionally.
- Maintain accurate client and patient records.
- Obtain previous medical records before appointments when needed.
- Prepare estimates, health certificates, vaccine certificates, medical records, and other documents.
- Process invoices and payments accurately.
- Recognize urgent or emergency situations, appropriately prioritize client concerns, and promptly notify the veterinarian or appropriate medical team member.
- Assist with laboratory requests and administrative projects.
- Clean and prepare exam rooms between appointments and maintain a clean, organized reception area.
- Assist with opening, closing, and other daily clinic operations.
- Support veterinarians, veterinary technicians, veterinary assistants, and fellow CSRs to promote efficient hospital workflow.
- Cross-train in other areas of the hospital and perform additional duties reasonably related to this position as assigned by management, provided appropriate training has been received and the duties are consistent with hospital policies and applicable laws.

- Has a basic understanding of veterinary terminology, preventive care, routine vaccine schedules, and common veterinary services, or is willing to learn.
- Is able to recognize urgent or emergency situations, appropriately prioritize client concerns, and promptly involve the veterinary team.
- Demonstrates professionalism, compassion, and empathy when communicating with clients, including during emotional or difficult situations.
- Minimum of 1 year of experience working in a veterinary clinic required.
Previous experience in veterinary medicine, medical reception, healthcare, or customer service is preferred but not required. We are happy to train the right individual who demonstrates a positive attitude, excellent communication skills, strong computer proficiency, and a genuine desire to learn.

Physical Requirements
- Stand and walk for extended periods throughout the workday.
- Frequently bend, stoop, kneel, reach, and perform repetitive tasks.
- Lift and carry up to 40 pounds.
- Safely work around dogs and cats of varying sizes and temperaments.
- Work in an environment with animal hair, odors, disinfectants, cleaning products, and occasional exposure to animal waste.
